About the Role:
As the Corporate Filing Specialist, you will report to the Sr. Manager of Entity Services and serve as the subject matter expert and main point of contact for members’ complex corporate filings. You will routinely partner with various other departments including Onboarding, Sales, Member Relations, Legal, Product, Engineering, Tax, and Accounting/Finance. Your role will involve managing a variety of responsibilities centered around corporate filings, offboarding and vendor management.
You are an expert in business entity formation in all 50 states (specifically LLCs & S Corp elections), foreign registrations, domestications, conversions and dissolutions across all states. You combine this expertise with a keen interest in educating yourself, your co-workers, and our members. You are open to change with a focus on collaboration.
⚒️ Responsibilities:
- Filing business formation documents with state and federal agencies and ensuring compliance for existing entities.
- Coordinate and file foreign registrations, domestications, conversions, DBAs and dissolutions, and other complex corporate filings.
- Act as the SME on corporate filing operations and data, understanding and communicating state regulatory nuances.
- Work alongside and help guide a team of Business Solutions Advisors whose primary responsibilities include:
- Setting up the foundation of our members’ new business and ensuring their business is set up correctly, filing documents with both the state and the IRS, and ensuring members joining with existing entities are compliant
- Navigating various state department websites, analyzing federal and state documentation, and calling those departments when needed to resolve issues.
- Smoothly transitioning members when they depart Collective.
- Act as an escalation point for complex business formation and verification issues.
- Partner with Sales, Member Relations, Legal, Product, Engineering, Tax and Accounting teams and assist with cross-departmental initiatives.
- Own and maintain relationships with 3rd Party Providers such as Registered Agents and Business License Providers.
- Oversee the payment processing system for various requests, ensuring efficiency and accuracy.
- Regularly update documentation to reflect process improvements or changes in filing procedures.
- Generate, analyze, and monitor reports in Salesforce and other internal systems.
- Proficiently use Zendesk, Salesforce, Slack, Stripe, Google Suite, Collective Internal Platform, Confluence, Zoom, Adobe, Microsoft Office, and other software applications.

- At least 5 years of industry experience
- Experience working for a registered agent company is a plus.

- Resourcefulness and comfort with change and ambiguity & ability to work in a fast-paced environment with minimal supervision
- Collaborative mindset with the ability to work effectively within a team environment

What we offer in return:
Compensation Range: $91,800 - $102,000 USD annual base salary
