Requirements
  • A minimum of five years of experience specific to the position.
  • A Bachelor's degree in Health Care Administration, Business, or a related field.
  • Management-level administrative experience, preferably in a research institution environment or academic medical center.
  • Demonstrated competence in financial operations, business planning, financial analysis, and strategic planning.
  • Demonstrated experience working with large, highly structured personnel systems.
  • Proven leadership, communication, team-building, and problem-solving skills.
  • Demonstrated ability to address complex and sensitive administrative issues with diplomacy and effectiveness.
  • Functional understanding of research grant administration.
Responsibilities
  • Manage department operations to ensure that day-to-day and cyclic requirements are met; plan, resource, and monitor programmatic activities; prepare reports; terminate or continue programs; and plan or coordinate marketing documents or activities.
  • Coordinate general administrative activities necessary for the department's day-to-day operations.
  • Manage core administrative staff and contracted shared services, including research administration, faculty and staff human resources, and information technology, to ensure essential operational needs are met.
  • Provide strategic direction regarding department program and offering marketing, branding, and public engagement within and outside the University of Washington School of Medicine.
  • Oversee and champion diversity, equity, and inclusion efforts within the department.
  • Integrate the cyclic operational responsibilities of the University of Washington and School of Medicine into department planning, policies, and procedures.
  • Implement change-management processes that address organizational dynamics and the policies and procedures of approving offices or agencies.
  • Manage facilities to ensure effective, efficient, and safe operations and preservation of resources.
  • Negotiate or build relationships, partnerships, or coalitions to advance the department's vision or mission.
  • Manage and monitor the department's approximately $2 million annual budget.
  • Manage departmental financial resources, including budgets and funds from federal, state, private, University, and foundation sources, in accordance with ethical and fiduciary practices.
  • Support program managers and faculty directors in the strategic and financial management of the Clinical Ethics Consultation Service, educational programs, continuing-education programs, Bioethics Grand Rounds, Harborview Ethics Forum, and the Ethics in Medicine web resource.
  • Support faculty and staff in achieving the department's research, educational, and service goals.
  • Interpret policies and regulations concerning departmental financial activities and ensure compliance with University policies and procedures and federal, state, and other research-sponsor guidelines.
  • Develop and implement internal financial system controls to ensure the integrity of financial transactions in accordance with applicable jurisdictions.
  • Maintain working knowledge of the department's financial operations, funding sources, policies, and procedures.
  • Partner with School of Medicine and Academic Human Resources shared services to maintain the organizational structure supporting faculty and staff human-resources functions.
  • Support the Assistant to the Chair, who serves as the primary liaison with shared services, in ensuring that academic and staff human-resources needs are met in accordance with University and School of Medicine policies and procedures.
  • Interpret and integrate federal, state, University, School of Medicine, and other local laws and agreements into department policies and procedures.
  • Respond to and assist with faculty and staff training and coaching needs.
  • Manage departmental research resources, including grant and contract staff and processes, research staff support, capital equipment, physical plant, Institutional Review Board matters, and Protected Health Information compliance issues.
  • Partner with the School of Medicine Post-Award Shared Service team on grant and contract administration procedures.
  • Assist faculty in identifying research sponsorship, completing pre-submission activities, addressing Institutional Review Board and other federal research requirements, preparing supporting documents and verifications, and submitting grant and contract proposals.
  • Review and approve all departmental grant and contract applications.
  • Support development of a cohesive departmental research strategy by coordinating information, tracking opportunities, and helping position faculty for successful grant submissions.
  • Promote compliance and manage risk in accordance with University, UW Medicine, and other oversight-body policies.
  • Interpret and integrate federal, state, and industry laws or policies on corporate compliance, including fraud and anti-kickback matters, to mitigate risk to the department and its faculty and staff.
  • Ensure that spaces and rooms are properly equipped and have appropriate security measures to safeguard information, physical resources, and staff.
Desired Qualifications
  • A Master's degree in health care administration, Business, or a related field, plus at least five years of relevant experience.
  • Experience in a medical school, research institute, or university setting.
