Requirements
  • A high school diploma or GED is required.
  • At least 6 years of management experience in a professional services or law firm environment is preferred.
  • Knowledge of basic accounting principles, including budget management, is required.
  • Ability to communicate effectively, verbally and in writing, with clients, lawyers, business professionals, and third parties.
  • Ability to produce deliverables, answer phone calls, and reply to correspondence efficiently and responsively.
  • Ability to provide timely, accurate, and quality work product.
  • Ability to meet deadlines and expectations and perform required work duties.
  • Ability to foster positive work relationships.
  • Ability to comply with firm policies and practices.
  • Ability to participate in physical and sedentary activities, including extended computer work, on-screen reading and typing, virtual conference calls, and meetings.

Responsibilities
  • Direct, manage, and oversee the office's daily administrative business functions.
  • Represent and support firm decisions and initiatives while managing through change.
  • Plan and facilitate office core management team meetings to support operational excellence.
  • Manage, advise, mentor, and hold monthly individual meetings with direct reports, including compensation planning, performance evaluations, and onboarding.
  • Report to and communicate with the Director of Administration, escalating office needs, employee relations matters, and other issues in a timely manner.
  • Influence across departments and senior staff.
  • Interact with office lawyers to ensure strong practice support, identify and address needs, and share feedback across departments for continuous improvement.
  • Manage, facilitate, and support lateral integration and practice integration.
  • Plan, attend, and prepare agendas and materials for partner meetings, presenting business and financial matters as needed.
  • Partner with talent acquisition, practice groups, and local office partners on lateral recruiting initiatives and onboarding new associates.
  • Collaborate with the Office Managing Partner and marketing and business development teams on the office marketing budget and client-facing and business development opportunities, including potential management of contracts for strategic sports-ticket utilization.
  • Partner with departments on office events and initiatives to maximize engagement and maintain a positive office culture.
  • Support firm brand recognition through civic involvement, local networking, and collaboration with the firm's Alumni team.
  • Partner with Real Estate leadership and Operations on space planning, refurbishing projects, moves, subleasing, space layout, plan review, construction requests for proposals, construction management, and external office-space use.
  • Participate in firmwide initiatives with department leadership and senior management.
  • Partner with the Director of Administration on strategic functional areas such as relationship management, process improvement and technology, artificial intelligence, communications and leadership liaison work, and talent management.
  • Manage complex workflows with broader organizational impact.
  • Support and drive billing and collections efforts to optimize cash conversion and meet office goals.
  • Collaborate with Practice Group Directors, lawyers, and others to implement fiscal-management best practices.
  • Prepare, analyze, and maintain accurate office administration and related budgets.
  • Produce deliverables, respond to calls and correspondence, meet deadlines, foster work relationships, comply with firm policies, and perform assigned duties.
Desired Qualifications
  • A Bachelor's Degree in Business Administration, Finance, or a related field is preferred.
  • Experience with facilities management, including design, construction, contract negotiations, and project management, is a plus.
