Requirements
- Knowledge of Real Estate terminology
- 1-2 years legal administration or lease administration experience, preferred
- Advanced knowledge of Microsoft Suite (Word, Excel, Powerpoint, Outlook, etc.)
- Previous database experience
- Previous Lease/Amendment Abstraction experience, preferred
- Notary Public (preferred but not required)
- Excellent organizational skills
- Meets critical deadlines, prioritizes accordingly and determines when assistance is required
- Ability to thrive in a fast-paced environment
- Strong computer skills especially with Word and databases
- Strong verbal and written communication skills
- Accountable for results and communicates suggestions for issue resolution
- Takes initiative to accomplish department goals and tasks
- Must be able to work in a team environment
- Regularly required to sit, stand, bend and lift/move up to 10 pounds
- Ability to drive to mailing facilities (FedEx/UPS, couriers, etc.) to meet deadlines
Responsibilities
- Analyzes and abstracts critical lease information and incorporates into real estate database
- Manages Commencement Date Memo process
- Prepares and distributes various reports among cross-functional departments such as construction, leasing, and legal
- Draft Estoppels and Subordination Non-Disturbance Agreements
- Prepares cover letters for various legal documents
- Maintains all real estate legal files including database directories
- Enters amendment abstracts in real estate database
- Manages storage agreement negotiations and processes documentation
- Review and process invoices for all Legal vendors
- Prepares Real Estate Legal documents such as Leases, Amendments, and Storage Contracts for execution
- Partner with Real Estate Accounting team to ensure timely and accurate payment of rents
- Sort, scan, and distribute mail among various departments
- Performs other job duties as needed or assigned
