Responsibilities
  • Support the Site Coordinator in day-to-day operations and problem-solving, including assisting with extended patient wait times, managing staff concerns, and supporting the clinic schedule.
  • Assist in preparing the weekly staff schedule under the guidance of the Site Coordinator and Practice Administrator.
  • Serve as the point of contact for facility-related issues (e.g., IT issues, plumbing, safety concerns) and escalate matters as necessary.
  • Help monitor and maintain office and clinical supplies, ensuring timely orders for necessary items.
  • Cross-train for various roles, including Medical Assistant (MA) and front office duties, to fill in during staffing shortages.
  • Receive and direct mail and packages, ensuring they are distributed to the appropriate departments.
  • Assist with staffing needs by helping identify potential candidates and participating in the interview process, as requested by the Site Coordinator.
  • Support the development of training materials and help coordinate onboarding for new staff members.
  • Assist the Site Coordinator with annual performance reviews and other administrative tasks as needed.
  • Participate in leadership meetings and contribute to site coordination efforts under the guidance of the Site Coordinator.
  • Assist the Site Coordinator and medical providers with ongoing projects or issues as required.
  • Troubleshoot basic software and IT issues under the guidance of the Site Coordinator and escalate more complex issues as needed.
  • Contribute to maintaining a positive work environment by supporting team dynamics and morale.
  • Actively participate in a leadership development program to develop future leadership skills.
  • Exhibit strong collaboration, teamwork, and problem-solving skills to support the site team.
