Requirements
  • A bachelor's degree and 5 years of relevant experience are required, or an equivalent combination of education and experience.
  • Experience developing annual capital and operational budgets is preferred.
Responsibilities
  • Work under the general direction of the Division Chief of the Child Neurology division and with oversight by the Program Administrator for the Department of Neurology.
  • Provide administrative and managerial support for all aspects of division administration and support divisional activities.
  • Plan, direct, and coordinate fiscal, administrative, and personnel functions within the divisions.
  • Maintain working relationships with division faculty, department administrators, hospital staff, and medical school administrative staff.
  • Manage clinical, administrative, and financial activities for the Child Neurology division, including operating and capital budget preparation, financial analysis, program planning and development, facilities, and information systems.
  • Develop, monitor, and control hospital accounts; prepare and administer capital and operating budgets with the department finance team.
  • Review monthly department and hospital reports to identify trends and explain variances, and monitor and control division expenses.
  • Develop, interpret, and track statistical measures and reports monitoring provider productivity.
  • Review monthly division and hospital reports for volume trends and address positive and negative variances.
  • Ensure proper payment for work undertaken.
  • Provide oversight of division operations and collaborate with leaders to create workflows that reduce waste and improve patient outcomes.
  • Facilitate institutional resources to troubleshoot IT, finance, space, and patient-related issues.
  • Communicate ongoing clinical scheduling and communication issues.
  • Oversee the Child Neurology Access Center, including incoming calls, referrals, and prior authorizations.
  • Partner with the Division Chief and Lead Advanced Practice Provider to ensure smooth clinical operations.
  • Monitor schedule utilization, physician productivity, and patient access, and take appropriate action to maintain acceptable utilization levels.
  • Represent the divisions as a member of the Ambulatory Clinical Council.
  • Monitor patient satisfaction results and work with the Division Chief to resolve patient issues.
  • Provide guidance to faculty and staff on personnel administration, including recruitment, hiring, supervision, performance evaluation and management, compensation, progressive discipline, termination, employee rights and privileges, leave, disability, and benefits.
  • Manage, develop, and train office clerical staff and manage prioritization and workload allocation.
  • Monitor staff compensation levels on an ongoing basis.
  • Provide operational support to research projects in collaboration with Research Administrators.
  • Assist with posting, hiring, and managing research support staff and with procurement of goods and services.
  • Maintain current knowledge of the division's research portfolio to anticipate fiscal challenges and projected needs.
  • Support management and maintenance of research project documents.
  • Oversee procurement and purchasing functions for division accounts, including reconciliation with University reports, problem resolution, and analysis of revenue and expense trends.
  • Recommend actions to division faculty and staff regarding compliance with University finance, accounting, and procurement policies and procedures.
  • Collaborate with the Residency Program Director, Administrator, and Fellowship Directors to coordinate fellowship programs, including recruiting fellows, coordinating orientation and schedules, and assisting with reimbursements, certifications, and compliance.
  • Perform other duties as assigned.
