Reporting directly to the Health and Wellness Benefits Manager, this position is responsible for being the analyst in the management of ADA accommodations and leave processes within the guidelines of federal and state laws, and company policies. You will provide best-in-class concierge support for HR partners, management and during the ADA and leave administration process.
In the Role
- As the primary contact for ADA, manage the ADA process including compliant recordkeeping, decision making, interactive dialogue and exploration of alternative solutions.
- Takes a lead role in workflow management, reviewing and reconciling leave/ADA reporting to ensure compliance and return to work solutions. Holds routine team meetings to ensure caseloads are managed timely.
- Manages escalated employee leave of absence inquiries and issues related to FMLA, Short Term Disability, Long Term Disability, Military, State, and other leave of absence programs.
- Analyzes leave and ADA data to identify trends, gaps in processes or compliance concerns.
- Conducts periodic reporting, performs data audits, reconciles pay discrepancies and adjusts absence data – all while ensuring data integrity and accuracy.
- Consults and communicates regularly with internal HR partners, management and key stakeholders to educate and resolve concerns.
- Ensure compliance with government regulations, including state disability and family leave, ADA, and FMLA and remains current with new and changing state leave programs to ensure compliance.
- Updates internal HR systems accurately to ensure appropriate pay and leave dates are administered in accordance with policy.
- Maintain up-to-date knowledge of relevant state leave/ADA regulations and serve as a subject matter expert.
- Revise internal documents, policies, and communications as necessary to ensure company compliance and improve processes or the team member experience.
- Process State Disability Claims as necessary.
- Participates in special projects or assignments with the benefits team.
Requirements
- 3-5 years of experience in US disability/leave administration and ADA accommodation or previous experience in an HR generalist or employee relations role
- Previous management or lead experience a plus.
- Deep understanding and application of federal and state disability and paid family leave laws (i.e., ADA, FMLA, CFRA, PDL, etc.).
- Thorough understanding of the leave laws in a multi-state environment.
- Analytical Reasoning/Attention to Detail - Must demonstrate an ability to examine and analyze data/information, discern variations/similarities, and be able identify trends, relationships and causal factors, as well as grasp issues, draw accurate conclusions, and solve problems.
- Independent worker and must be able to regularly exercise discretion, handle conflict and be firm when required.
- Must be able to maintain confidentiality of protected and sensitive data and ensure compliance with HIPAA.
- Exceptional critical thinking and problem-solving skills while interacting with employees and various levels of management. The ability to analyze complex questions and determine the best course of actions or recommendation.
- Excellent oral and written communication skills. Able to effectively communicate with employees at all levels from senior management to junior-level employees.
- Organized, detail oriented and able to manage multiple priorities in a fast-paced environment.
- Ability to listen and ascertain the needs of employees; ability to find and communicate accurate information concerning process, policies, and procedures; ability to respond tactfully and courteously.
- Ability to take initiative and make decisions under pressure, in a fast-paced environment
- MS Office skills including Excel, Word and PowerPoint and Outlook. Within Excel – use of VLOOKUP, formulas, and other analytical tools in order to analyze and reconcile data.
Preferred:
- Experience in administering a CA VDI Plan and other state disability offsets preferred.
- Prior Workday experience working with leave, payroll and ADA reporting preferred.
