Requirements

Responsibilities
  • Perform clerical, receptionist, dispatching, and admitting or discharge duties in support of the assigned patient care department.
  • Greet patients and complete admitting functions upon their arrival to the department.
  • Complete admitting information in the computer.
  • Locate and assign beds.
  • Notify the referring physician of an admission when requested.
  • Communicate transfer information when a patient moves between hospital locations.
  • Complete transfer functions in the computer for patients transferred within the same patient care area.
  • Notify the receiving department, obtain a bed assignment, and dispatch a support associate when a patient transfers to a different patient care area.
  • Perform clerical discharge functions.
  • Disassemble the patient record after a discharge order is received.
  • Schedule follow-up appointments.
  • Arrange transportation for patients as necessary.
  • Complete the discharge function in the computer.
  • Fax copies of discharge summaries to designated areas.
  • Coordinate and facilitate ongoing communication to support efficient intra-departmental and interdepartmental operations.
  • Communicate with other departments regarding admitted, discharged, transferred, or deceased patients, and communicate patient information and unit needs within the department.
  • Answer telephone calls courteously and promptly, identifying the employee and department.
  • Answer the patient intercom and dispatch appropriate personnel.
  • Maintain complete and accurate telephone or visitor messages and route them accurately to department personnel.
  • Welcome visitors and respond to requests for assistance or information.
  • Assist physicians and others by providing requested information about specific patients or department routines in accordance with hospital policy.
  • Enter written physician orders into the EPIC system accurately and promptly.
  • Generate Kardex and Medical Admission Records from Merlin after entering admission orders, and distribute the documents to the appropriate individuals.
  • Schedule laboratory work, X-rays, and diagnostic procedures, and forward documents to the appropriate individuals.
  • Complete laboratory requisitions and other forms accurately according to departmental procedures.
  • Phone consults to other services promptly and accurately.
  • Maintain communication with other patient care departments, including Dietary and Physical Therapy, to ensure patient-care needs are met.
  • Coordinate and facilitate timely, efficient intra-departmental and interdepartmental transportation of patients.
  • Dispatch patient-care personnel to provide patient transportation at the request of ancillary departments.
  • Organize and maintain patient records and department records to support accurate and complete documentation.
  • Prepare patient identification bands and name tags accurately.
  • Assemble, maintain, and break down patient charts; review printed orders for STAT, laboratory, and diagnostic tests; and advise the registered nurse of STAT orders according to departmental procedures.
  • Record laboratory results reported by telephone accurately.
  • Immediately alert the registered nurse when the laboratory reports abnormal results.
  • Maintain office-supply stock levels.
  • Compile statistical or unit-activity data for the department as assigned.
Desired Qualifications
  • Graduation from a Medical Assistant program or secretarial school is preferred.
