Requirements
  • A high school diploma is required.
  • A minimum of 5 years of related experience is required.
  • An active Secret clearance is required.
  • Knowledge of office administration and procedures is required.
  • The candidate must demonstrate judgment, relationship management, communication, teamwork, client service, organization, attention to detail, time management, prioritization, and the ability to analyze information and work independently and under pressure.
  • The candidate must be able to communicate effectively with diverse customers and staff and maintain accurate and complete results.
  • The candidate must be able to meet the stated physical demands, including standing, walking, handling, reaching, occasional sitting, climbing, balancing, stooping, kneeling, crouching, crawling, and lifting up to 25 pounds.
  • Regular and punctual attendance is required.
Responsibilities
  • Maintain and organize the leadership calendar so the BMD Chief is prepared for meetings, and schedule meetings and appointments.
  • Receive and direct visitors professionally and courteously.
  • Process information and data requests and direct them to the appropriate office or point of contact.
  • Resolve administrative problems and inquiries in a timely and effective manner.
  • Prepare and review written correspondence in accordance with AR 25-50, including directives, issuances, memoranda, policy statements, taskings, and other written guidelines; review documents for omissions and inconsistencies.
  • Prepare travel arrangements in the Defense Travel System, including travel, lodging, and rental car bookings, and prepare comprehensive travel books with agendas.
  • Prepare meeting agendas; record, compile, transcribe, and distribute meeting minutes.
  • Maintain office supply inventories and coordinate replenishment.
  • Communicate important and time-sensitive matters to the Project Manager and Deputy Project Manager and execute directed resolutions.
  • Assist with schedule synchronization between higher headquarters, Division/Product Office teams, and external stakeholders.
  • Coordinate facilities and resources for briefings and collaboration activities, including conference facilities, teleconferences, videoteleconferences, digital presentations, and room preparation.
  • Coordinate, set up, and execute off-site events, team-building activities, and agency social events.
  • Attend leadership meetings, transcribe notes, record action items, and ensure timely completion of post-meeting actions.
  • Create, edit, and proofread documents and presentations using Microsoft Office, including PowerPoint, Word, and Excel.
Desired Qualifications
  • A bachelor's degree is preferred.
  • Previous experience providing administrative support to senior-level personnel within a government office is preferred.
