Requirements

Responsibilities
  • Function as project manager for department special projects and key cross-functional initiatives.
  • Oversee and manage department operations, including vendor relationships, invoices, licenses, staff duties, and deadlines.
  • Provide tactical support for implementing ideas and initiatives and managing progress toward projects or departmental goals.
  • Manage comprehensive compliance records for tax clients and non-clients, keeping lists current, accurate, and reconciled.
  • Orchestrate onboarding protocols for new doctors.
  • Draft written communications to owner-doctors, RPs, SHs, and executives for the tax department and manage internal communications under senior management direction.
  • Assist with resolving Internal Revenue Service and state and local tax authority notices and audits by preparing written correspondence and handling related communications and document processing.
  • Coordinate action items from team meetings and assist with creating status updates for team efforts and projects.
  • Act as a liaison to other departments and provide support to the department vice president, directors, and managers.
  • Assist with annual budgeting and monthly financial reconciliations, including analyzing variances and working with the finance department to address issues and reconcile fee charge-outs.
  • Arrange and manage meeting and event logistics, including scheduling, agendas, presentation materials, and meeting minutes.
  • Complete administrative tasks that support the vice president in leading the department, including special projects, complex documents, reports, presentations, meeting materials, and correspondence.
  • Manage information systems operations, including hardware, software, desktop support, internal telecommunications, and strategic systems development and planning.
  • Manage department software licenses and users, update and reconcile records, assist with subscription renewals, and track renewals.
  • Manage the tax department service desk ticketing system by researching inquiries and notices and routing requests to the appropriate person or department.
  • Arrange and manage staff meetings, one-on-one meetings, and all-hands meetings, including scheduling, materials, technology setup, and follow-up.
  • Provide loan assistance to owner-doctors and other appropriate personnel.
  • Collaborate with the recruiting team and assist with onboarding new team members.
  • Maintain the tax department storage and retrieval system and communicate with tax agencies regarding audit controversies and notice resolution.
  • Securely deliver federal and state partnership and individual tax returns, profit-and-loss reports, balance sheets, K-1 schedules, Form 4868 extensions, e-filing confirmations, and other tax files.
  • Assist with preparing and processing S corporation elections with the Internal Revenue Service, processing state tax payments online, researching and reconciling refund checks, and notifying accounting of state payments.
  • Update tax team distribution lists in the Exchange Admin Center.
  • Receive and distribute department mail, send tax returns, notice responses, and extensions by certified mail, and track mail through the United States Postal Service.
  • Build long-lasting internal and external relationships.
  • Perform other assigned duties.
Desired Qualifications
  • Experience in a multi-locational healthcare or retail industry company.
  • Seven or more years of experience working at a national or large regional certified public accounting or law firm, or equivalent experience within an internal tax or legal department.
  • Advanced working knowledge of Microsoft Office Suite and emerging artificial intelligence applications such as UiPath, Alteryx, or Power BI.
