Requirements
  • Vocational training, an apprenticeship, or equivalent experience in a related field.
  • At least 7 years of work experience in a related job discipline.
Responsibilities
  • Provide front desk management by coordinating visitors, greeting and assisting guests, and answering the main phone line.
  • Independently manage issues and questions arising in day-to-day office operations for employees and guests.
  • Create and implement process improvements for general office management, including operational references and manuals.
  • Maintain an accounting of office supplies and place orders for new supplies as needed.
  • Maintain office machines, services, and spaces, and receive and distribute mail.
  • Serve as the main point of contact for building management and maintenance teams, key vendors, deliveries, and University offices.
  • Process reimbursements, reconcile expenses, pay invoices, and deposit checks.
  • Provide hands-on logistical support to program teams for meetings, events, and offsite activities.
  • Coordinate with venues to research, evaluate, and secure event space, confirm logistics, and serve as the primary point of contact for venue staff before and during events.
  • Arrange participant travel and accommodations, schedule activities, process stipends, and serve as a participant point of contact during the program.
  • Identify potential problems and make and implement decisions using sound judgment.
  • Coordinate special projects as directed by the leader.
  • Prepare recommendations for operational and administrative problems.
  • Manage a portion of the leader's budget, monitor and reconcile accounts, and prepare financial and administrative reports.
  • Prepare special reports and summaries and assist in managing daily office operations.
  • Assist in developing administrative goals and policies.
  • Maintain the leader's calendar, exercising discretion and judgment regarding priorities and effective use of the leader's time.
  • Perform other related work as needed.

  • Ability to professionally interact with researchers, funders, and other key external stakeholders.
  • Ability to work independently, solve problems, and manage multiple, concurrent tasks.
  • Ability to exercise considerable discretion and judgment.
  • Excellent organization skills and attention to detail.
  • Demonstrated time management and project management skills with a success in roles requiring execution of multiple tasks while responding to multiple priorities with little supervision.
  • Excellent computer skills including advanced Microsoft Office Suite, advanced skills in PowerPoint and Adobe Acrobat, experience with both PC and MAC, proofreading, editing, and advanced writing and grammar skills.
  • Ability to work a hybrid remote/in-office schedule with occasional evening/weekend hours and travel.
