Requirements
  • A bachelor's degree in Commerce, Finance, or a related field.
  • Two to three years of experience in order management, sales operations, order processing, or a similar role.
  • Experience managing large volumes and supporting extended hours when required.
  • Strong organizational and multitasking skills with keen attention to detail.
  • Good understanding of order processing, end-to-end workflows, and statutory compliance, including Goods and Services Tax and Tax Deducted at Source.
  • Proficiency in Microsoft Office applications and experience working with business systems.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Ability to collaborate with cross-functional Finance, IT, Sales, and Business teams.
  • Ability to work collaboratively across multiple teams while maintaining confidentiality and complying with company policies and legal regulations.
Responsibilities
  • Validate quotations and costing sheets and convert quotations into sales orders in NetSuite Enterprise Resource Planning.
  • Convert sales orders into purchase orders in NetSuite Enterprise Resource Planning and load purchase orders to vendors.
  • Send stock-keeping unit creation requests to the Master Data Management team when part numbers are not in the database.
  • Follow up on order deliveries and request expected ship dates from vendors.
  • Monitor the status of sales and purchase orders.
  • Review open sales and purchase orders fortnightly and monthly with the Business and Sales teams.
  • Prepare vendor reports, including proof-of-sale and audit-query reports.
  • Maintain a secure and organized repository of order documents in the enterprise resource planning system and appropriate folders.
  • Process all types of returns, including sales invoice returns, vendor returns, and return merchandise authorizations.
  • Process goods receipts and notify the relevant team with supporting documentation.
  • Raise invoices and notify the relevant team with supporting documentation.
  • Maintain turnaround time for all order processes.
  • Coordinate with Finance and IT for operational requirements.
  • Maintain confidentiality and ensure compliance with company policies and legal regulations.
  • Prepare periodic operational reports and documentation for audits and management reviews.
  • Provide extended order-management support during month-end and quarter-end periods.
  • Create order-fulfillment documentation and coordinate with Finance on invoice creation and submission to partners by email or portal.
Desired Qualifications
  • Strong understanding of end-to-end order management and operations processes.
  • Familiarity with NetSuite Oracle ERP.
  • Understanding of the Order to Cash process.
  • Experience with document management and record-keeping best practices, including handling sensitive and confidential information.
  • Knowledge of statutory compliance related to Goods and Services Tax, import/export, Incoterms, and other applicable government regulations.
  • Familiarity with cybersecurity products and the ability to learn them.
