Requirements
  • Demonstrated experience with surgical scheduling.
  • Demonstrated customer service skills and the ability to interact professionally with patients, providers, and staff.
  • Strong attention to detail and timeliness, with the ability to handle multiple tasks and prioritize effectively in a fast-paced environment.
  • Proficiency in EPIC or similar electronic medical record systems, with experience in scheduling and patient information management.
  • Effective listening skills and the ability to accurately assess and direct inquiries, with professional telephone etiquette.
  • Ability to use sound independent judgment and critical thinking to manage patient interactions and resolve issues effectively.
  • Four years of related work experience, including two years in the same job family at the next lower level, and a high school education; or two years of related work experience and an Associate degree; or an equivalent combination of experience and education.
Responsibilities
  • Answer telephone calls and assess the urgency of calls, provide assistance or direct callers appropriately, contact physicians or nurses directly for urgent needs, and assist receptionists in screening patient calls.
  • Provide specialized information about the section, policies, procedures, insurance, and services, and assist patients with completing forms.
  • Build monthly provider master schedules and clinic calendars, verify provider sessions, modify schedules for time off, extra patients, and emergencies, and create patient bump lists for last-minute provider callouts.
  • Schedule patient appointments, resolve scheduling conflicts, notify patients of changes or cancellations, prioritize appointment urgency for rescheduling, and potentially schedule patients into clinical research studies.
  • Receive patients and visitors, obtain their names and needs, direct them appropriately, update patient information, verify insurance and service information, track referrals, complete patient encounter forms, and process fee-for-service payments.
  • Book diagnostic tests and specialized appointments at hospitals and other medical facilities, and provide patients with required paperwork and procedure instructions.
  • Schedule and coordinate surgical procedures, coordinate surgery dates and preoperative and postoperative examinations and laboratory work, distribute required paperwork, track completion, and coordinate schedule changes.
  • Schedule and coordinate departmental meetings, classes, clinics, and conferences.
  • Use computer systems to input and retrieve data, merge and manipulate data to generate complex reports, compile clinical and patient statistical data, and produce summaries and reports.
  • Type correspondence, clinical information, reports, publicity materials, and educational handouts, and compose general written material.
  • Obtain patient charts, medical records, and laboratory reports and verify their completeness.
  • Sort, screen, and distribute incoming mail; prioritize and ensure completion of medical forms by clinical staff; and coordinate interdepartmental communication, including distribution of medical records and reports.
  • Establish and maintain filing systems.
  • Maintain inventory of office supplies and educational materials.
  • May oversee and instruct support staff and ensure adequate reception desk coverage.
  • Perform additional functions incidental to office activities.
Desired Qualifications
  • Knowledge of medical terminology and previous experience in a medical office or call center, especially in high-volume settings.
  • Spanish-speaking proficiency.
  • Experience with Microsoft Excel and multiline telephone systems.
  • Experience in dermatology and familiarity with EPIC.
  • Ability to adapt to different clinical areas, manage high call volumes, and learn new procedures and technologies quickly.
