Requirements
  • A Bachelor's Degree in Business Administration or a related field is required; a combination of education and experience may be substituted.
  • A minimum of 2 years of directly related work experience is required.

  • Experience handling the full array of fiscal responsibilities needed for a division's fiscal functions is required.

Responsibilities
  • Lead operational functions involved in complex, multidimensional processes for sustained efforts and ad-hoc projects across the division.
  • Support fiscal functions including procurement, payment reconciliation, and reporting.
  • Provide project management for project-team communications, coordination, work pacing, deadline management, and reporting.
  • Address customer service inquiries by telephone and online communications.
  • Serve on project teams to coordinate communications, meeting scheduling, work coordination, responsiveness to administrative directives, and adherence to deadlines.
  • Advocate to division leadership on matters that support successful project completion.
  • Train with division subject-matter experts to provide substantive assistance in specific content and skill areas and contribute to project-team development efforts.
  • Manage front-line communications and interactions with community stakeholders.
  • Support community events, workshops, and conferences, including information provision and registration processing.
  • Develop systems to maintain awareness of current information and processes for ongoing and upcoming opportunities offered by Kamehameha Schools or its partners.
  • Respond to or redirect inquiries, concerns, and suggestions from learners' parents, adult learners, community organizations, and potential donors regarding Kamehameha Schools Kaiāulu.
  • Participate in program-improvement efforts by making suggestions and implementing approved approaches.
  • Work with division members and other organizational groups to develop and implement systems that assess the effectiveness of community-facing functions.
  • Prepare, review, and monitor division-wide project budgets, including monthly and quarterly variance reports and year-end accrual reporting.
  • Assist with reconciliation of project expenses.
  • Assist project leads and community liaisons with formal agreements for community partnerships.
  • Administer contracts and manage contractors with project leads.
  • Review budgets to verify fund availability and ensure correct budget codes and cost-center accounts are used.
  • Prepare, process, and monitor purchase requisitions, vendor invoices, payment requests, general-ledger adjustments, and other financial records.
  • Ensure expenditure requests comply with procurement policies and procedures and are routed for approval and further processing.
  • Route forms and requisitions for required follow-up action.
  • Analyze budgets to recommend fund reallocations and improved future budget allocations.
  • Analyze fiscal processes and recommend and implement approved improvements.
  • Lead key division systems and processes, ensuring that streams of work are cohesively managed and issues are addressed.
  • Develop, implement, improve, and maintain processes supporting key division functions and complex ad-hoc projects.
  • Create online systems and repositories to receive, verify, and organize documents for retrieval by authorized staff.
  • Serve as a communication node to receive and disseminate information to division staff and ensure timely task completion.
  • Manage key office administrative functions for the division.
  • Provide clerical support, including meeting scheduling and logistics, agendas, notes and minutes, memo and correspondence drafting, copying and filing, document distribution, and file and record maintenance.
  • Compose draft routine communications on behalf of division leadership.
  • Review draft communications intended for community members or division staff.
  • Perform other related duties as assigned or requested.
