Requirements
  • Ability to obtain and maintain a Public Trust clearance.
  • Bachelor's degree in a related field from an accredited college or university.
  • Minimum of 3 years of professional experience.
  • Minimum of 2 years of experience in administrative assistant responsibilities within the last 5 years.
  • Adept knowledge in administrative and management procedures.
  • Excel and data analytics experience, principles, and processes.
  • Ability to communicate with excellent written and oral skills.
Responsibilities
  • Provides direct assistance to the CDO and other OCDO staff on the administrative and financial management of OCDO, the scheduling of OCDO programs, meeting, and program planning, scheduling of events and department meetings and security management (on-boarding and off-boarding staff).
  • Handles the direct management of the CDO’s calendars, organizes travel plans with the support of the DFC Travel Group including pre and post travel requirements, supports completion of internal documents including staff forms, reports and documentation, and meets associated information needs.
  • Supports the OCDO with scheduling, and contact with external parties, among other administrative support activities as appropriate.
  • Coordinates meetings, including development of agendas, assembly of background materials and talking points, as well as coordinating follow up (circulating notes, etc.). Supports development of presentations including PowerPoint slides as needed. Works with Development Specialist and Data Specialists in OCDO to support development of data analyses, reports and evaluations of DFC programs as appropriate.
  • Assists with the set up and maintenance of database and online file sharing systems relevant to OCDO. Publishes system information including department’s shared drive and updates OCDO webpage so that current information is available in a timely manner. Ensures that department’s intranet site is current and accurate.
  • Assists in the evaluation of office administrative processes to ensure that they are effective and support high performance.
  • Drafts a variety of forms and other correspondence.
  • Searches for and organizes information, including on SharePoint.
  • Assists with the preparation of OCDO reports for other DFC departments, as required.
  • Supports strategic planning administrative activities.
  • Maintains information and files related to the OCDO strategic planning and performance measures, and non-confidential performance-related documents for OCDO staff.
  • Maintains accuracy of departmental shared drives and intranet site to ensure they are accurate and up to date.
  • Provides support to the Development Finance Fellows program including the upkeep of the CDO sponsored training platform.
  • Performs special projects, as assigned, that relate to research, review, evaluation, or performance of specific tasks related to administrative programs and business processes.
  • Sets up meetings and schedules use of conference rooms.
  • Sets up files, logs and documents by subject, chronology and alphabetical order and retrieves files and records.
  • Responds to all requests in a timely manner.
  • Replies to email correspondence and phone calls within two business days.
  • Conducts daily duties with courtesy and professionalism.
