Requirements
  • MS in a health-related or medical field
  • Currently U.S. certified Physician Assistants, Nurse Practitioners, and Nurses (only candidates with such certifications will be considered), specializing in rare diseases and organ health such as kidney disease
  • 3+ years of clinical data abstraction experience. Requires direct experience performing medical record abstraction across multiple platforms (paper records, different electronic medical record systems, EDC, registries, etc.) or 2 years of abstraction experience with a PhD in nursing or clinical care field
  • 5+ years experience supervising staff (may be supplemented with extensive experience in abstraction)
  • Must have experience working within startup abstraction programs, as well supporting the strategic direction of long-term abstraction programs
  • Must have strong clinical and medical data experience, as it relates to the creation of aggregate real-world data sets
  • Capable of navigating real-world data and dealing with data missingness and data gaps
  • Must be familiar with standard clinical data abstraction models, data abstraction harmonization and standardization, and various clinical data ontologies such as ICD-9-CM & SNOMED CT
  • Experience providing statistical reports on patient data or trends as a result of abstraction efforts (strong data analysis skills)
  • Experience providing ongoing follow up and coaching
  • Ability to work independently, with little to no direction, and as part of a team

Responsibilities
  • Function as the front-line supervisor to all senior clinician abstractors working within the Organ Health business unit and overseeing all abstraction activity, workflows, and processes to ensure the production of high-quality abstracted data
  • Serve as the first escalation point for medical abstraction questions raised by the internal abstraction teams and cross-functional team of IT, engineering, data scientist, medical, quality abstractor, and scientific staff as it relates to clinical data and abstraction activity
  • Lead regular data quality meetings consisting of medical officers (physicians/clinicians), clinician abstractors, and various levels of staff to discuss, review, and address clinical data abstraction issues and data discrepancies
  • Create and maintain clinical data abstraction dictionaries and abstraction business rules, and all necessary standard operating procedures, guidelines, and workflows
  • Ensure staff adherence to all procedures and policies at the team abstraction level
  • Generate and monitor abstraction performance related metrics of the organ health clinical data abstraction team
  • Ensure project and program productivity and quality requirements are met at the abstraction team level
  • Create and manage team and project-specific KPIs and provide adequate methods for reporting KPIs to Director Partner with Quality Abstractor, Business Operations Manager, Product Management, Engineering, IT, and Data teams to operationalize the program's objectives
  • Serve as the front-line supervisor and coordinator for all data projects at the abstraction level
  • Partner with the Business Operations Manager to ensure all real-world data projects are triaged and assigned to senior clinical data abstractors and effective project strategies and plans exist for successfully executing abstraction project requests and needs
  • Assign data project leads, patient volume, and other responsibilities to abstraction staff and ensure clear project requirements and artifacts are created for assigned abstraction team
  • Track staff performance issues and questions, and create team specific artifacts for monitoring performance
  • Host weekly and monthly team meetings and workshops as necessary
  • Support the creation of staff training plans and ensuring staff maintain appropriate certifications and training to perform abstraction duties
  • Support the creation of and maintain standard operating procedures and staff policies
  • Conduct 1:1s, performance evaluations, which includes providing individual performance feedback focused on opportunities for growth and development and recognition of achievements
  • Supervise staff schedules, expenses, travel, and performance against abstraction project deadlines and productivity requirements
  • Guide the career development of team members, nurture their abstraction and interpersonal skills
  • Support hiring and onboarding new clinician abstractors
  • Build and maintain ongoing strong working relationships with stakeholders, with a focus on building effective communication channels
  • Perform clinical data abstraction across organ health/chronic diseases, meeting the required productivity weekly number for staff supervisors
  • Support forecasting productivity requirements for the department and program

  • Work on the forefront of genomics research enablement by establishing clinical data quality frameworks and ensuring high-quality rich and longitudinal data is accessible through the Clinicogenomics platform
  • Play and integral role in developing a new team
  • Lead the establishment of a new program's long-term strategy and direction
  • This role works with Protected Health Information (PHI) regularly both in paper and electronic form and has access to various technologies to access PHI (paper and electronic) to perform the job
  • Employees must complete HIPAA/PHI privacy training, General Policies and Procedure Compliance training, and security training. Must maintain a current status on Natera training requirements
  • Employees must pass a post-offer criminal background check
