Requirements
  • Roughly 3-4 years of experience in a role related to event planning, employee experience, or a similar coordination role.
  • Excellent organizational skills, attention to detail, and reliability; you are structured, methodical, and you anticipate needs.
  • A passion for workplace culture and building a sense of community within an organization.
  • Strong professional communication skills in both English and French (oral and written); interaction with employees and clients across North America requires fluency in English.
  • Comfortable managing budgets from planning through approvals and tracking.
  • Ability to juggle multiple priorities in a fast-paced environment.
  • Curiosity and initiative; you propose ideas, take charge of projects, and always have 2-3 backup solutions.
  • Willingness to occasionally work outside regular hours for events.
Responsibilities
  • Be on-site at the office Monday to Thursday, from 9:00 a.m. to 5:00 p.m., to contribute to the office atmosphere and provide operational support when the Office Manager is away.
  • Support daily office logistics including welcoming staff and visitors, managing calls, emails, and deliveries, and maintaining a clean and welcoming workspace.
  • Coordinate travel arrangements (flights, hotels, car rentals) and handle internal and external gifting for staff and/or talent.
  • Plan and execute a range of internal events and team experiences including team meetings, celebrations, volunteer activities, virtual gatherings, retreats, and staff parties.
  • Manage event logistics including venues, suppliers, guest lists, travel, catering, and on-site coordination.
  • Build and track event budgets, including cost planning, approvals, and reconciliations.
  • Be the primary contact for all vendors before, during, and after events, and ensure presence on-site from setup to teardown.
  • Collaborate with the People & Culture, Marketing, and Leadership teams to ensure events reflect company values and foster connection.
  • Continuously propose fresh ideas and stay updated on event trends to enhance the employee experience.
