About the opportunity:
Shutterstock’s Legal team partners with the global team to deliver innovative business solutions and strategically manage risk. We are looking for a Legal Assistant to work closely with the members of the Legal Department, providing support to the Company’s corporate functions and business operations.
This is a varied and fast-paced role with a focus on stakeholder and workload management as well as professional, proactive customer service, both internally and externally. On a typical day, you might review agreements for accuracy and consistency before preparing and sending for signature, assign and complete tickets from the legal task management system(s), liaise with stakeholders within the team and across the business to coordinate vendor set up and requisitions, update and maintain agreement templates, organize cross-functional documentation for notarisation and/or apostille and generally be the anchor of the Legal Department’s administrative function. For the right candidate, there may also be
some scope for involvement in contract negotiation and redline changes.
The day to day:
● Manage and maintain digital and hard copy filing systems, including contract database and shared drives.
Develop best practices for records management.
● Coordinate and track legal matters and transactions from inception through deadlines, renewals and
conclusion to signature, including reviewing contracts to prepare documents for signature.
● Maintain a library of pre-approved form documents, contract clauses, templates, and historical documents,
and add or revise material as needed.
● Create and deliver initial drafts of form agreements including NDAs, vendor and supplier contracts and
independent contractor agreements.
● Update and manage workflows, including prioritizing requests and ensuring deadlines are met, including
managing legal project queues in multiple project management systems.
● Assist with other tasks and projects on an as-needed basis
What you’ll bring to the role:
● 2-4 years of experience as a legal assistant or paralegal in a fast-paced corporate or law-firm environment desired.
● Self-driven, organized individual who can work independently and can prioritize and manage multiple matters and platforms simultaneously in a dynamic, entrepreneurial environment.
● Results-oriented, innovative, resourceful and strong ability to problem-solve and identify and resolve issues.
● Strong attention to detail.
● “Can-do-attitude”, Proactive, and Open-Minded. No task too big or too small.
● Strong communication (verbal and written), design, and presentation skills with the confidence to interface with executive level leadership. Extremely professional with excellent judgment and utmost discretion in handling highly sensitive and confidential matters.
● Proficiency with Google Apps, and Microsoft Office required. Experience using cloud-based digital organizational platform(s) (i.e., Salesforce) highly desirable.
Any of these would be a bonus:
● Proficiency with agile project management tools, collaboration tools, end-to-end contract management databases, signature processing software and legal billing software (i.e., Jira, Confluence, Salesforce, Ironclad, Docusign, SimpleLegal, respectively).
● An interest in pursuing a career as a legal administrator, paralegal or contracts manager.
This role is not suitable for candidates who are qualified lawyers or who are looking to comply with the qualifying work experience requirement as part of the SQE.
