  • A Bachelor's degree in a relevant field.
  • Six years of experience within the field with a focus on customer service, including one year in a people management role in healthcare; Houston Methodist employees may qualify with five years of relevant experience and progressive leadership responsibility demonstrated through Houston Methodist performance.
  • Experience coordinating multiple tasks, managing staff, delivering corporate training, and working one-on-one with people.
  • Sufficient proficiency in speaking, reading, and writing English to perform the essential functions of the job, particularly activities affecting patient or employee safety or security.
  • Ability to communicate effectively through multiple channels with patients, physicians, family members, and coworkers using a customer service focus and positive language principles.

Responsibilities
  • Manage the day-to-day work activities of Guest Relations staff and oversee department operations, schedules, and activities.
  • Interpret and communicate the institution's philosophy, policies, procedures, and services to patients, families, and visitors.
  • Act as a patient advocate and liaison among patients and families, hospital departments, and administration.
  • Identify and resolve issues raised by patients and insurers regarding services and care to which patients are entitled.
  • Provide guidance to staff and assist management in achieving strategic and operational objectives.
  • Manage staffing, budget compliance, staffing decisions, employee selection, scheduling, supervision, retention, and evaluation.
  • Contribute to hiring and termination decisions and coach and counsel employees regarding work performance.
  • Develop and implement policies and procedures supporting a safe and effective work environment.
  • Implement training, monitoring, and operational initiatives supporting compliance with ethical and legal practices and accreditation, regulatory, and government requirements.
  • Conduct department meetings, round on employees, complete performance appraisals, conduct new-hire feedback sessions, provide corrective counseling and recognition, and give timely performance guidance.
  • Develop direct reports to perform management functions and facilitate team dynamics and teambuilding within and between departments.
  • Represent the Guest Relations department and patients or guests before hospital and professional entities and build positive working relationships.
  • Set priorities and functional standards and direct staff to support service delivery and patient or customer satisfaction.
  • Drive service standards and participate in entity committees as the department's representative.
  • Receive escalated concerns, meet with patients and families, investigate and resolve issues, and follow up to assess resolution.
  • Evaluate patient or client issues and needs and remain accountable for satisfaction with services provided.
  • Oversee facilitated access for special populations, including Platinum Patient Services and the Center for Performing Arts Medicine program; manage membership approvals, communication plan development, membership list maintenance, and customer relationship management.
  • Monitor and revise department safety plans and accreditation or regulatory safety guidelines, including infection control principles.
  • Confirm that staff maintain credentials demonstrating competency under applicable accrediting agency or department guidelines.
  • Use and optimize information systems to enhance operations and support performance improvement and data management or analysis.
  • Monitor and improve workflow, report accidents, near misses, and adverse events, identify solutions collaboratively, and apply lean principles to process improvement.
  • Monitor employee compliance with policies, procedures, and Houston Methodist human resources standards and take action when non-compliance occurs.
  • Oversee the hospital grievance policy and process in accordance with Medicare, regulatory agency, and accreditation requirements.
  • Maintain departmental policies and procedures in accordance with Houston Methodist hospital policies and procedures.
  • Use patient satisfaction surveys, customer complaint data, and other sources to identify focus areas and implement proactive patient-advocacy interventions.
  • Assist with department budget development and operate the department cost-effectively within approved budget parameters.
  • Audit department expenses, meet budgeted revenue or expense targets, and develop staffing plans and schedules aligned with department and patient needs.
  • Implement financial and staffing strategies by optimizing productivity and resource efficiency and minimizing incidental and percentage overtime.
  • Identify and implement innovative workflow and practice solutions, lead unit projects, and support department or system change initiatives.
  • Evaluate processes, recommend and implement action plans, and ensure sustainable change.
  • Participate in developing new procedures and reviewing and revising existing procedures.
  • Build strategic relationships across areas, teams, departments, and units to achieve business goals.
  • Identify developmental needs of self and staff, conduct staff development conversations, and ensure career discussions and development plans are maintained.
  • Assist the leadership team in interpreting patient satisfaction data and developing department-specific satisfaction initiatives.
  • Remain available for on-call responsibilities during emergencies.
