Requirements
  • Three (3) years of secretarial or administrative support experience that includes coordinating office procedures, preparing narrative and statistical reports, and administrative data collection and analysis; OR
  • An associate degree in general office occupations and two (2) years of secretarial or administrative support experience that includes coordinating office procedures, preparing narrative and statistical reports, and administrative data collection and analysis; OR
  • An equivalent combination of education and experience.
Responsibilities
  • Supports the Statewide Financial Programs Manager in driving the overall operations and objectives of the Statewide Financial Programs unit.
  • Serves as the primary point of contact for project-related communications, ensuring timely updates and alignment among internal and external partners within Financial Services.
  • Anticipates the needs of a high-performing team, adapts gracefully to shifting priorities, and reduces the project team’s administrative burden by managing scheduling, documentation, and reporting tasks.
  • Coordinates and plans routine projects related to Other Funds, adult in custody (AIC) Revenue Generating Activities and Programs, and Special Projects that support agency goals.
  • Conducts extensive research, data gathering, and analysis of complex information, as well as preparing concise reports and summaries for internal stakeholders and agency partners.
  • Interprets relevant department policies, administrative rules, and federal and state statutes to provide program assessments supports and compliance guidance.
  • Collaborates with Financial Services staff, management, and agency functional units to facilitate effective actions that align with regulatory requirements.
  • Assists in developing and executing best business practices and, when necessary, revising applicable policies and Oregon Administrative Rules under the Financial Services purview.
