Requirements
  • A high school diploma and 2 years of relevant experience are required, or an equivalent combination of education and experience.
  • Demonstrated customer relations skills are required.
Responsibilities
  • Perform complex secretarial and administrative duties in a fast-paced environment supporting clinical, educational, and academic programs.
  • Prepare clinics, manage providers’ time and calendars, optimize provider-patient schedules, coordinate patient care, and provide information and data support.
  • Serve as the primary contact for providers; manage calendars; prioritize appointments and meetings; optimize clinical schedules; identify missing orders; gather information for referrals and prior authorizations; execute or delegate follow-up actions; prepare correspondence and appeals documentation; manage provider documentation and information; arrange travel and conference accommodations; facilitate lectures and speaking engagements; and research hospital medical records.
  • Determine the order of daily surgeries and ambulatory procedures based on patients’ medical conditions and severity.
  • Negotiate surgical and procedure schedules with the Operating Room scheduling office and Ambulatory Surgical Center staff.
  • Authorize overbooking, rearrangement, and rescheduling of Operating Room schedules according to case complexity, medical urgency, and applicable protocols.
  • Order surgical and procedure equipment, devices, and medication; confirm fulfillment; and use contingency strategies to ensure materials and locations are ready.
  • Ensure patient education and follow-up details reflect pre-operative readiness and post-operative rehabilitation expectations and activities.
  • Assemble electronic medical record details for disability paperwork.
  • Assess patient calls, prioritize medical concerns, obtain provider responses, and follow up with patients.
  • Serve as the main point of contact for patients before and after surgery.
  • Perform other duties as assigned.
Desired Qualifications
  • Knowledge of medical terminology.
  • Experience with surgical and appointment scheduling software such as Flowcast.
  • Experience with electronic medical records.
