Requirements
  • An Associate's degree and 3 years of related work experience, including at least 1 year in an executive administrative capacity in an academic office or project management, or equivalent experience in business.
  • Excellent interpersonal, organizational, and verbal and written communication skills.
  • Strong attention to detail, proofreading ability, and the ability to maintain confidentiality at all times.
Responsibilities
  • Perform routine and non-routine duties requiring high-level administrative skills for the Office of the Chair.
  • Support Department Vice Chairs, Division Heads, and their support staff with day-to-day activities.
  • Maintain communication with regional counterparts when arranging regional business meetings and conferences.
  • Represent the Office of the Chair and communicate instructions and administrative matters to students, clients, faculty, staff, and the general public.
  • Schedule, maintain, and prioritize calendars of appointments, meetings, and national and international travel.
  • Plan and organize agendas, site selections, food and beverage, audio-visual arrangements, and document development.
  • Prepare correspondence, memos, faculty appointment and reappointment letters, vendor communications, and communications with affiliates and external organizations.
  • Make decisions on document format and layout, edit for accuracy and consistency, and compile supporting graphics and reports.
  • Draft the monthly department newsletter and create and update publication lists for the Chair and faculty.
  • Prepare presentations with consistent layout, editing, and formatting.
  • Produce monthly department faculty meeting agendas, presentation slides, and minutes.
  • Provide project management by organizing, scheduling, and coordinating departmental events, including visiting professorships, banquets, and alumni gatherings.
  • Secure venues, coordinate invitations and printed materials, collect RSVPs, and communicate with vendors.
  • Act as the department advancement liaison by planning, implementing, and managing a comprehensive advancement program.
  • Engage key donors and create and maintain institutional relationships under the direction of the department and Advancement office.
  • Identify departmental and institutional events aligned with donor values and interests and complete related projects.
  • Ensure fiscal responsibility and cost-effectiveness for planned events and program activities.
  • Ensure arrangements and purchases for the Chair's office are cost-effective, meet University standards, and are submitted for payment or reimbursement in a timely manner.
  • Answer, screen, and initiate telephone calls; greet visitors; provide procedural information; and answer operational and substantive inquiries.
  • Resolve problems and prioritize needs requiring in-depth knowledge of policies and procedures.
Desired Qualifications
  • A Bachelor's degree.
  • Proficiency in Microsoft Outlook, Internet navigation, Microsoft Office Suite, Microsoft Access, and an HRIS system.
