Requirements
  • An Associate's degree and three years of related work experience are required, or an equivalent combination of education and experience.
  • Experience in an Emergency Department setting is preferred.
  • One year in a position demonstrating the ability to work with minimal supervision and direct an office operation is preferred.
  • Experience with medical terminology is preferred.
  • Experience with PICIS and Flowcast is preferred.
  • Accurate typing ability is preferred.
  • Skills related to achieving customer satisfaction are preferred.
  • Ability to deal calmly and efficiently with medical professionals during life-threatening situations is preferred.
  • Ability to maintain a strong customer service approach and handle diverse personalities is preferred.
Responsibilities
  • Ensure smooth and efficient patient care flow through Perioperative Services and the Operating Room.
  • Support Anesthesia clinical coordinators, charge nurses, surgeons, faculty, and staff by facilitating departmental workflow.
  • Prioritize critical patient cases and communicate emergency Operating Room changes and fluctuations.
  • Serve as the primary liaison between staff and faculty inside and outside the Operating Room and ectopic surgical locations.
  • Maintain the Operating Room whiteboard and manual schedule, including backup scheduling during electrical or computer failures.
  • Assess and triage Operating Room calls, pages, and STAT calls; book emergent cases and coordinate appropriate faculty and staff for off-shift and next-day cases.
  • Initiate the printing and organization of next-day patient call slips and wristbands.
  • Handle complaints from patients, faculty, nursing, and anesthesiology.
  • Answer and appropriately route incoming calls in the communications center.
  • Monitor inventory, order and manage supplies and forms, and respond to clinical staff requests.
  • Edit and correct registration and billing errors during the full registration process and identify ways to reduce repetitive or corrective work.
  • Use the electronic medical record and scheduling software to facilitate workflow.
  • Manage the patient tracking system and ensure correct patient locations.
  • Train staff as a designated preceptor, including orientation, registration processes, and customer service.
  • Act as an information resource for departmental registration and workflow activities.
  • Attend departmental education programs and educate other staff as directed by the supervisor.
  • Assign patient transports and disseminate tasks to Patient Service Associates.
  • Monitor the pneumatic tube station and distribute its contents and surgical scrubs.
  • Witness consent signatures, fax charts, and pull charts for quality assurance audits or patient-care follow-up.
  • Coordinate transportation for discharged or transferred patients as needed.
  • Perform other assigned duties.
