Requirements
  • A bachelor's degree in hospitality, business administration, or a related field is required.
  • At least two years of experience in a hotel's accounting department is required.
  • Ability to multitask and work in a fast-paced environment with a high level of attention to detail is required.
  • Fluency in Spanish and English is required.
  • Ability to take ownership of important issues, solve problems, and make effective decisions is required.
  • Ability to learn quickly and adapt to the company's culture is required.
Responsibilities
  • Support the Finance department with the hotel's financial operations while managing hotel assets and maintaining a centralized accounting environment under the guidance of the Assistant Director of Finance.
  • Verify that the PMS daily city ledger, guest ledger, and advance deposit ledger balances reconcile to the previous month's closing balance plus the current month-to-date PMS net changes.
  • Prepare the daily revenue journal, ensure revenues are classified to the correct general ledger code, and circulate the completed report to department heads promptly.
  • Verify that daily cash settlements posted in the PMS balance with the cash deposited according to the General Cashier report.
  • Verify credit-card billing against the daily business report, prepare credit-card and bank reconciliation sheets, and record credit-card commission accruals.
  • Ensure audit policies and procedures, including the Control Self-Assessment, are followed.
  • Comply with the hotel's Credit Policy and procedures.
  • Check that invoices have relevant supporting documentation and match quoted hotel rates and banquet orders.
  • Ensure credits received are allocated to the correct invoice rather than prorated across multiple invoices.
  • Ensure payments received at the hotel are credited correctly.
  • Follow up outstanding amounts using standard letters in accordance with the Credit Policy and Procedure.
  • Report potential problems as soon as they arise.
  • Process applications for new credit accounts.
  • Distribute listings of all active accounts receivable regularly.
  • Establish and continually review credit limits for accounts receivable.
  • Review checked-out guests, open payer accounts, and advance-deposit records against audited revenue.
  • Maintain a complete credit file for each account with all documentation related to the credit investigation.
  • Manage, reconcile, and follow up on credit-card inquiries and disputes.
  • Review all accounts-receivable debits and credits daily.
  • Verify the accuracy of accounts-receivable balances.
  • Maintain and build communication with all credit stakeholders.
