Requirements
  • A high school diploma or GED.
  • Two years of experience in a clerical setting; school-setting experience is preferred.
  • Proficiency in a database management system, preferably a student information system such as PowerSchool or Infinite Campus.
  • Proficiency with Microsoft Office and Google Suite.
  • Ability to remain self-directed and independently seek answers to questions.
  • Ability to learn new software programs as needed.
  • Ability to review policies and procedures to increase efficiency.
  • Ability to work cooperatively with others.
  • Ability to pass a criminal history background check.
  • Ability to sit or stand for extended periods, enter data using a computer keyboard, research job-related information using the Internet and other resources, read computer screens and printed material, hear and understand speech, communicate clearly in person and by telephone, and follow oral and written instructions.
  • Ability to perform the physical demands of the role, including frequent walking, standing, stooping, lifting up to approximately 25 pounds, and occasional lifting of equipment or materials weighing up to approximately 40 pounds.
Responsibilities
  • Register and withdraw students using the registration system and student information system, following the provided process checklist.
  • Request records for new students transferring from other schools, review received records, and notify appropriate school staff as needed.
  • Send student records to other schools upon request in a timely manner.
  • Evaluate and verify documentation submitted for enrollment.
  • Collect and enter student data into the school’s student information system by importing data from the enrollment system or entering it manually when needed.
  • Monitor and verify enrollments submitted in SchoolMint.
  • Generate reports and class lists, and enter attendance alerts.
  • Maintain office and student cumulative files, keeping records current and following document-maintenance guidelines.
  • Process changes to student information in a timely manner according to process guidelines.
  • Maintain an orderly, organized, and presentable office space.
  • Maintain grades and attendance databases and extracurricular activity records for all students.
  • Maintain the database of student schedules, run schedule reports, and adjust student schedules as necessary.
  • Process and maintain daily student attendance records, ensuring attendance from the check-in system is accurately reflected in the student information system.
  • Audit attendance daily to ensure accurate reporting.
  • Prepare report cards by grading period and send them electronically.
  • Collect and provide accurate enrollment numbers and information to the district office as requested.
  • Provide information and assistance to new students and their parents, and communicate regularly with families navigating enrollment or re-enrollment.
  • Import student lists into the Driveline system and print Driveline signs for distribution to families.
  • Answer and distribute phone calls as needed.
  • Assist with preparing bulletins, school calendars, brochures, and other announcements.
  • Attend required school events as assigned by the building administrator.
  • Generate word-processing and spreadsheet documents.
  • Assist with the day-to-day operations of the school.
  • Attend required online and in-person training.
  • Work with the building administrator to develop a backup plan for absences and provide necessary cross-training.
