  • Must take ownership for the safety of associates and residents.
  • Must disclose any medication that might impair the ability to perform the job safely or competently.
Responsibilities
  • Answer incoming internal and external calls in a warm, pleasant, and professional manner.
  • Relay all messages promptly to the intended person.
  • Maintain the current visitor log.
  • Greet visitors, residents, family members, and associates warmly and invitingly in person and by phone.
  • Keep reception areas clean, hospitable, and inviting.
  • Ensure compliance with concierge team standards and first-impression captain standards throughout the community entrance, from the driveway entrances through the lobby.
  • Create and maintain resident face sheets using the Yardi system, including entering resident information and uploading resident photographs.
  • Update resident information as it changes and distribute updated face sheets to appropriate locations.
  • Maintain resident face sheets in the van book, resident medical record, business office file, and emergency book.
  • Enter resident assessment data into Yardi as directed by the Executive Director and Director of Resident Care.
  • Enter all received work orders into the Direct Supply TELS system.
  • Report issues affecting the inviting environment and hospitality of the driveway entrances, roadway, front porch or entry, lobby, hospitality room, and reception area to the First Impressions Captain, Director of Maintenance, and Executive Director.
  • Maintain a show-ready appearance in the listed community areas.
  • Maintain knowledge of the community, its benefits, services, residents, and associates.
  • Assist the Director of Community Relations and/or Director of Sales with inquiries when necessary.
  • Assist the Business Office Manager with administrative support, including credit-card summaries, petty-cash maintenance and reconciliation, deposits into Yardi, checkbook maintenance, month-end purchase journals, and accounts payable entry.
  • Offer refreshments to visitors and help them feel welcome and comfortable.
  • Protect residents’ privacy when interacting with residents and family members.
  • Coordinate resident appointments for transportation, hairdressing, and other services, while maintaining accurate records of related resident charges.
  • Collect residents’ mail and prepare it for distribution.
  • Receive and send packages as part of community mail duties.
  • Prepare community brochure packets and maintain an ample supply at reception.
  • Maintain professional interactions and decorum in the lobby.
  • Assist the Executive Director and other departments with additional administrative duties assigned by the supervisor.
  • Follow company guidelines for proper computer usage.
  • Attend required community meetings and participate in Life Enrichment activities when able.
  • Complete required courses in adherence with HRA University.
  • Report to work promptly and perform required duties on a regular, predictable basis.
  • Learn and understand how to report a missing person using the Safe Return program or equivalent.
  • Learn and understand fire-evacuation procedures.
  • Help maintain a safe and secure environment for community residents.
