Requirements
  • Proficiency in Microsoft Word and Microsoft Excel.
  • Effective written and verbal communication skills.
  • High School Diploma.
  • Fingerprint clearance through the Department of Education.
  • New York State Central Registry clearance.
  • Annual medical clearance.
  • Completion of required annual trainings.
Responsibilities
  • Assist the Department Director/Coordinator with the department's administrative functions, including communication, staff and children's records, accounting records, licensing compliance, scheduling coordination, and interaction with early childhood members.
  • Check designated areas to ensure they are safe.
  • Answer phone calls and take messages when needed.
  • Assist with morning arrival and dismissal.
  • Collect paperwork from classrooms after arrival.
  • Divide and deliver lunch to classrooms daily and store food and drinks appropriately.
  • Coordinate classroom coverage as needed and serve as a substitute when necessary.
  • Complete and maintain program paperwork and coordinate student and staff files to keep information current.
  • Facilitate communication about JCC programs to potential members and guests.
  • Ensure adherence to Department of Health guidelines for children's and staff records.
  • Maintain current student and staff records as required by the Department of Health Bureau of Daycare while preserving confidentiality.
  • Maintain confidentiality of child, parent, staff, and Center issues.
  • Record daily staff attendance.
  • Assist with preparing parent and teacher materials and coordinate their distribution.
  • Communicate with parents, colleagues, consultants, and others, and assist with resolving non-educational issues such as transportation.
  • Maintain inventory records for instructional materials, office supplies, and department snacks.
  • Schedule and maintain staff training plans, track required training, schedule outside training vendors, prepare accounting documents, and prepare invoices for sign-off.
  • Order supplies and prepare invoices for approval.
  • Coordinate and confirm appointments for meetings and tours with the Director/Coordinator and conduct tours when necessary.
  • Represent the Center appropriately in all forums.
  • Assist with coordinating Early Childhood Center and community events.
  • Perform additional tasks assigned by the ECE/FFF Director.
Desired Qualifications
  • Prior experience in a school setting.
