Requirements
  • At least six months of customer service and administrative support experience in a service-oriented environment.
  • Ability to work independently, manage multiple assignments and tasks, and comply with policies and procedures.
  • Good telephone etiquette and the ability to communicate courteously and professionally.
  • Intermediate proficiency with Microsoft Office and Outlook.
  • Skills in database management, spreadsheets, and internet search applications.
  • Experience organizing and implementing office projects, filing systems, databases, and calendars.
  • Discretion when handling documents and member concerns.
  • Respect and appreciation for working in a multi-ethnic and multi-cultural work environment.
  • Ability to work effectively with members who may be stressed or impatient.
  • At least 15 hours of professional training related to early childhood or the position's responsibilities each year.
  • High school diploma or GED.
  • Ability to walk, stoop or kneel; reach, lift or move objects; and occasionally lift or move up to 30 pounds.
  • Normal or corrected vision and the ability to see color and distinguish letters, numbers, and symbols.
  • Ability to see, hear, speak, use a telephone, and work with computers.
Responsibilities
  • Educate visitors about the YWCA's available services.
  • Assist members with completing required forms and assessments.
  • Conduct member screenings to evaluate immediate support needs and facilitate referrals and linkages to appropriate community services.
  • Use appropriate judgment when escalating client or member concerns.
  • Process and distribute mail, copy, fax, and file documents.
  • Provide administrative support for the department.
  • Assist with managing and updating the lobby and other office areas, ensuring they are clean, organized, and stocked with required materials.
  • Participate in administrative and program meetings as appropriate.
  • Promote and educate individuals about YWCA programs.
  • Assist clients in navigating the Child Care Assistance Program, Tummy, and other YWCA programs.
  • Complete special projects, task forces, and other assignments as assigned.
Desired Qualifications
  • General knowledge of community resources.
  • An associate degree or progress toward completion of a degree.
  • For bilingual staff serving a foreign-language-speaking community, cultural competency and oral and written fluency in English and the community's language.
