Requirements
  • Must be 21 years of age or older per licensing requirements.
  • One year of previous receptionist experience.
  • Ability to work in a fast-paced environment while maintaining customer service skills.
  • Ability to communicate in person and by telephone in a friendly and welcoming manner.
  • Strong organizational and time management skills, with the ability to complete tasks in a timely manner, pay close attention to detail, and prioritize assigned tasks.
  • Strong interpersonal and people skills, with the ability to work and interact with diverse groups of people.
  • Basic skills in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Ability to sit and use a computer for long periods of time.
  • Ability to work in a child facility with constant exposure to children.
  • Ability to lift, push, pull, or move up to 25 pounds.
  • May be required to apply safety intervention with youth who could weigh over 100 pounds.
  • Ability to meet the physical requirements of the position, with or without reasonable accommodation, including walking, standing, sitting, kneeling, speaking, hearing with aid, seeing, reading, reaching, lifting or moving specified weights, and using essential equipment such as a computer, copier, fax machine, telephone, and automobile if applicable.
Responsibilities
  • Welcome, greet, and assist visitors in a courteous and professional manner, and allow visitors to wait in the lobby until an escort is available.
  • Provide and retrieve visitor badges and notify department or program staff of visitor arrivals.
  • Maintain visitor and staff logs; issue badges and vests for New Employee Orientation; and assign parking permits and door keycards to staff as required.
  • Answer multiple phone lines, direct calls to the appropriate department or individual, take messages when appropriate, and screen calls to ensure questions or concerns are properly answered.
  • Maintain and check the general program voicemail and forward calls to appropriate departments or individuals.
  • Serve as a point of contact to assist with copier, printer, and laminating documents.
  • Maintain appropriate supply inventory and organize office supplies as needed.
  • Stock paper in copiers and on shelves for staff access.
  • Organize incoming packages at the front desk until pickup, sort and distribute incoming mail, process outgoing mail, and arrange courier service as needed.
  • Maintain program records to meet department and facility needs and regulatory requirements.
  • Perform other assigned duties and projects.
Desired Qualifications
  • Two years of previous receptionist experience.
  • Bilingual English and Spanish language skills, based on the service area and/or population.
