Job Description:
The Maintenance Inventory Specialist is responsible for organizing and maintaining our maintenance parts area, including maintaining a clean and orderly parts store, evaluating parts usage and purchasing parts to ensure critical spares are kept in stock, and assembling parts kits for planned jobs. Conducting cycle counts and periodic reviews of our parts room metadata are critical to identifying opportunities for improvement and reducing risk of costly downtime. This position works closely with the maintenance manager to keep our maintenance operations running smoothly.
You will...
- Be responsible for establishing, organizing, and maintaining spare parts spaces.
- Be responsible for ordering spare parts, receiving stock into our CMMS inventory, and placing received stock into their appropriate bin locations within the parts room.
- Perform weekly cycle counts of a percentage of your storeroom, work to identify the source of any cycle count discrepancies, and report results to the maintenance planner and manager as requested.
- Periodically review consumables and parts usage within your site(s) and adjust parts metadata, including minimum and maximum stock values as needed.
- Annually work with site management to prepare parts budget forecasts for the following year.
- Work with the planner scheduler or site management to prepare parts kits for upcoming projects or planned maintenance.
- Manage the parts warranty process, ensuring that part failures that are under warranty are properly tagged and sent back to the manufacturer for replacement or repair.
- Establish and maintain 5S standards in the parts room and maintenance space to ensure that all equipment, parts, and tools have their own designated space, and that the area is kept clean and safe.
- When emergency situations arise, work with the maintenance team to assist with any parts needs that they may have.
- If a critical spare part is not in stock and is needed imminently, work to identify other network sites or vendors from where we can obtain the needed part, and facilitate the purchase or transfer of the said part.
- Regularly meet with other Inventory Specialists in the network and share experiences, pain points, and best practices to help build a better, stronger process.
- Be open to other related duties as requested, such as participating in training of new staff, assisting Business Operations leaders with proper use of the CMMS system, and helping launch new buildings as we continue to grow as a company.
- Be involved in compliance audits and checks as required by the Head of F&M
- Maintain part of our Facilities and Office budget - This is to be reviewed and overlooked by the Head of F&M
- Liaising with new suppliers, contractors, raising purchase orders up to the Value of 1k unless instructed by higher Management and managing deliveries.
- Issuing permits to work - when the F&M department is not available.
- Manage print solution, water dispensers and confidential waste contracts
- Maintain vending machines, where required to report failures and complete a failures defect log.
- Complete ad hoc Tasks requested by the Head of Facilities and Maintenance and Senior Facilities Manager.
Mandatory Requirements
You have...
- 2+ years’ of inventory maintenance experience, or a similar role that integrates inventory fundamentals.
- Electrical or mechanical training degree in computer science, mechanical engineering, electrical engineering, or related fields.
- Proficient/Advanced knowledge of CMMS systems
- Proficient in the use of standard office administrative software including document, spreadsheet, and slide presentation software (like MS Office or Google software suite).
- Proficient in reviewing data for accuracy, anomalies, and trends, and being able to discuss findings with maintenance leadership.
- Excellent verbal and written communication skills.
- The ability to think agilely and quickly to identify and remediate problems.
- The ability to read and understand drawings, schematics, and diagrams.
- The ability to multitask when needed.
- A high level of integrity and ethics, and excellent follow-through.
- The ability work in cold environments.
