Role Overview:
MRI Software is looking for an enthusiastic, culture-driven Office Coordinator to join our UK Facilities team. This fully office-based role will be positioned at our exciting central London office. Standard hours are 9:30am-6pm, with a need to be flexible and cover the earlier shift from time to time (and with prior notice). The organisation and team are fast-paced and have undergone considerable growth in the UK, with offices in London, Newcastle, Sleaford, Birmingham as well as a large home-based workforce. This position forms part of a Global Facilities team with collaboration with other team members and managers across USA, Canada, South Africa, India, and Australia.
As part of our small team, the role involves a variety of responsibilities including:
• Front of house duties and general administration – Greeting clients, visitors, employees, and vendors, managing office security through access control, liaising with vendors and suppliers, monitoring the Facilities mailbox and issue tracking system, and providing general employee support.
• Health and Safety duties – Acting as the first point of contact for health and safety issues or emergencies, conducting building inductions, maintaining health and safety records, upholding internal procedures and policies, and completing site audits to address any findings.
• Employee Engagement duties – Designing and executing UK employee events such as quarterly Spirit Weeks, weekly Happy Hours, and ROAR volunteering programs, and collaborating with DEI and ERG teams to ensure events are successful and within budget.
Role requirements include:
• 1-3 years of experience in a receptionist, administrative, or customer service role. • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment (e.g. phone systems, printers).
• Excellent verbal and written communication skills. Ability to interact professionally with clients, vendors, and staff.
• Strong organisational skills with the ability to multitask and prioritise effectively.
• Confidence to handle and resolve challenges or issues efficiently.
