Requirements
  • Demonstrated experience managing complex calendars, coordinating meetings, and balancing multiple priorities in a fast-paced environment.
  • Experience managing financial transactions, processing reconciliations, and maintaining accurate financial records.
  • Effective verbal and written communication skills.
  • Exceptional interpersonal skills with the ability to communicate professionally and collaborate with stakeholders across all organizational levels.
  • Excellent organizational and project management abilities with experience coordinating multiple concurrent activities while meeting established deadlines.
  • Demonstrated initiative, sound judgment, and the ability to work independently with minimal supervision.
  • Demonstrated analytical and problem-solving skills with experience improving processes and implementing solutions.
  • Outstanding attention to detail and accuracy, with proven ability to prioritize work and consistently produce error-free deliverables.
  • An Associate Degree.
  • Four or more years of relevant experience, or an equivalent combination of education and experience.

Responsibilities
  • Manage the Associate Dean’s calendars and task lists.
  • Manage conference travel and budget for the Associate Dean and Office of Education and Social Equity staff.
  • Analyze information for special projects and reports, and draft handbooks, newsletters, and other materials.
  • Oversee daily office operations, establish priorities, coordinate workflows, ensure deadlines are met, and develop procedures supporting efficient administration of the office and affiliated units.
  • Develop, maintain, and safeguard confidential records, databases, mailing lists, and electronic communication systems.
  • Support adherence to College and University policies and procedures.
  • Respond to student inquiries and assist with student-related matters.
  • Review and approve financial transactions within established guidelines.
  • Assist in preparing short- and long-range budget plans.
  • Support management of general, restricted, and grant-funded accounts by monitoring expenditures, processing reconciliations, maintaining financial records, and assisting with budget reporting.
  • Provide administrative support for employee onboarding, offboarding, appointments, and Workday transactions.
  • Support Office of Education and Social Equity staff with work-study assignments.
  • Coordinate committee meetings, prepare and distribute associated materials, and handle related communications.
  • Coordinate seminars, workshops, banquets, events, special projects, and programs.
  • Provide administrative and programmatic support for student-focused initiatives, events, and activities, serving as a resource to students and families.
  • Gather receipts and prepare expense reconciliation documents for programs and events.
  • Handle student and faculty matters confidentially and maintain an inclusive environment.
  • Work collaboratively with administrative assistants in the dean’s suite.
  • Acquire and demonstrate knowledge of university policies, procedures, and systems related to student and academic affairs.
