Requirements
  • At least two years of experience working in healthcare administration, such as front-office operations, insurance or patient billing, medical claims and coding, insurance verification, and working with in-network and out-of-network payers.
  • Demonstrated expertise in customer service and managing effective client interactions.
  • Ability to manage client phone calls related to billing and explanations of benefits.
  • Ability to explain billing, insurance, and account questions clearly, professionally, and empathetically.
  • Proficiency in written communication, live chat, and phone support.
  • Exceptional attention to detail.
  • Ability to multitask across various systems.
  • Ability to handle delicate or sensitive situations with discretion and care.
  • Passion for mental health and wellness.
  • Comfort using artificial intelligence tools in day-to-day workflows and willingness to continuously improve work processes.

Responsibilities
  • Organize and convey information clearly and concisely through timely, warm, and precise communication with clients, clinicians, and other employees.
  • Use multiple software systems to perform eligibility checks, generate invoices and superbills, process and post payments daily, submit insurance claims, respond to client billing inquiries, and alert management to potential concerns.
  • Follow standard operating procedures to ensure information is complete, accurate, clear, and concise.
  • Perform follow-up actions to ensure work quality, task completion, and alignment with individual and department goals.
  • Communicate with health plans to obtain necessary information and resolve issues.
  • Handle incoming client inquiries, provide timely responses, and apply specialized knowledge to resolve issues.
  • Manage patient statement processing, post payments accurately and promptly, reconcile accounts, and resolve discrepancies.
  • Seek ways to streamline processes and enhance efficiency as the company grows.
  • Use artificial intelligence tools for drafting, research, and iteration to improve efficiency, quality, and decision-making.
  • Work Monday through Friday from 9 a.m. to 6 p.m. Pacific Time, with occasional weekend coverage.

Octave has launched WiseMatch, a technology platform designed to modernise insurance directories and simplify access to in-network mental health care. The platform enables real-time availability and direct booking within payor directories. WiseMatch addresses a significant access gap, as approximately 40% of patients begin their therapy search through health plan directories, which are often outdated and difficult to navigate. The platform integrates across fragmented behavioural health networks, including electronic health record systems, to provide regularly updated provider information. Tens of thousands of therapists are now connected through WiseMatch via partnerships with mental health practices including Grow Therapy, Rula and SonderMind, as well as behavioural health EHR providers like Valant. The platform allows patients to book appointments whilst enabling providers to manage bookings through existing workflows.
