Office Manager @ Matillion

About the role

This position will manage the administrative functions and welfare within the Matillion office whilst offering support to other locations and remote workers as required. Proactively drive improvements in the way we manage our offices and remote workers in relation to engagement and efficiencies.

What you will be doing;

Office Management

Office Management
Welcoming and assisting visitors to the Denver Matillion office
Manages and coordinates through the Matillion team to maintain tidiness and professionalism in the office environment
Point of contact for all suppliers including cleaning contractors and building management
Supports new office requirements from a follow-up and administrative perspective
Gifting for the team when required
Liaise with other Office Managers to ensure culture and policies are consistent between sites
Maintain strong relationships with current and new vendors
Build and maintain strong relationships with internal and external partners
Planning and support of internal events at the Denver office and offsite

Safety and Security

Safety and Security
Managing office key cards
Managing car parking spaces and tracking
Health and Safety coordinator - managing fire wardens, first aid box, first aid certification and documents around this
Communication and documentation of the above as required
Build a strong relationship with building management

General Admin and Procurement

Purchasing food and drinks for the office - ensuring these are tidy, in date, and in stock
Heavy management of monthly office expenses and experience with budget management
Ordering lunches for office events/meetings
Keeping track of suppliers and feedback from them
Maintain office supplies
Own SWAG distribution and Matilion event prep

What we are looking for;

Office Management/Administrative experience
Previous experience with Slack, G Suite, Navan, Asana, and Jira
Collaborative style able to support fast-paced business and want to share and develop best practices
Interest in facilitating employee engagement initiatives
Demonstrated ability to adjust to changing priorities, workflows, and office environments.
Experience in handling unpredictable situations with a calm and solution-oriented approach.
Ability to remain composed and effective under pressure.

At Matillion, we are committed to providing competitive compensation in line with market standards based on the role, job family, job level, and country. This non-exempt role’s estimated hourly pay range for this position is $20.10 - $30.14, and the final rate will be based on your relevant skills, experience and qualifications demonstrated in the hiring process. You will be entitled to overtime for any work, approved in advance by your manager, that exceeds 40 hours per week (or exceeds 8 hours per day in California).
