Requirements
  • A Bachelor's Degree or 3 years of relevant experience.
  • At least one year of experience managing federal and/or non-federal sponsored research.
  • Advanced proficiency with Microsoft Office and Adobe.
  • Working knowledge of Excel formulas and functions, including creating formulas and working with Pivot Tables.
  • Ability to edit SharePoint sites or basic web pages.
  • Knowledge or prior experience with enterprise software systems.
  • Ability to source data from systems and generate customized reports.
  • Ability to efficiently plan, organize, and prioritize personal work and the work of others.

Responsibilities
  • Complete or delegate key administrative tasks such as editing faculty curricula vitae and National Institutes of Health biosketches, tracking faculty funding sources and publications, and assisting with Academic Review and Promotion portfolio materials.
  • Perform Human Resources activities, including onboarding and offboarding, staff recruitment plans, and coordination of annual performance evaluations.
  • Assist with requesting and setting up functional access, affiliation status, Confidential Disclosure Agreements, and Material Transfer Agreements for external collaborators.
  • Manage monthly time and effort reporting for the supported faculty group.
  • Manage and track conflict-of-interest prior approvals, annual reporting, and conflict-management plans.
  • Track Confidential Disclosure Agreements, Material Transfer Agreements, and Data Transfer Agreements through University of Washington or Fred Hutch compliance for non-clinical trials and external collaborations.
  • Assist with manuscript preparation for submission.
  • Coach and develop lower-level staff.
  • Participate in Institutional Animal Care and Use Committee, Material Use Authorization, and Data Use Agreement applications and renewals as appropriate.
  • Provide overall research-administration support to assigned faculty based on their research interests and goals, collaborating with the Clinical Research Support team where applicable.
  • Lead and provide strategic guidance on grant and award submissions by creating and communicating timelines, completing technical and non-scientific submission steps, completing assigned technical or scientific portions, developing response strategies with faculty, reviewing budgets, identifying discrepancies, and recommending resolutions.
  • Prepare annual progress reports and oversee project activation, management, and oversight.
  • Monitor assigned Division project budgets to ensure financial allocations and expenditures comply with project guidelines, regulations, and institutional policies.
  • Manage non-sponsored budgets, including discretionary accounts and gift funds.
  • Prepare monthly budget summaries and reports for principal investigators covering applicable discretionary and gift accounts, startup funds, donor funds, Division-managed research funds, and faculty salary support.
  • Report and project faculty salary support from applicable sponsored research projects, ensuring alignment with budgeted salary and effort.
  • Build and oversee budgets and financial projections for assigned faculty portfolios.
  • Build and oversee annual time-and-effort planning and reconciliation for faculty and, where appropriate, Division research and support staff.
  • Serve as purchasing liaison by placing and approving orders for supplies and equipment and creating and maintaining standing vendor orders.
  • Perform ProCard reconciliation and approval, and process expense reimbursements.
  • Submit equipment-repair work orders and procure and schedule outside maintenance when needed.
  • Participate in team activities, provide coverage for team members who are out of office, and collaborate in support of the Clinical Research Division.
