Requirements
  • A high school diploma or GED equivalent is required.
  • Three years of administrative support experience, including one year of legal support work in a law office or legal environment, is required; a comparable amount of related coursework may substitute for the required work experience.
  • Knowledge of legal terminology, legal and regulatory requirements, document procedures and standard content, including document formatting per court rules, is required.
  • Knowledge of general legal office practices and procedures is required.
  • Knowledge of business English, grammar, punctuation, spelling, word processing, database and presentation applications, including macros, is required.
  • Knowledge of general office equipment, including copiers, fax machines, telephones and personal computers, is required.
  • Effective oral and written communication sufficient to exchange or convey information and give and receive work direction is required.
  • Effective working relationships with co-workers, public officials and the general public are required.
  • Proficiency with personal computers and software needed for the job assignments is required.
  • Proficiency in digital document storage and transfer is required.
  • Ability to accurately keyboard at least 50 words per minute is required.

Responsibilities
  • Research, establish, maintain, code, modify, track and retrieve information; compile data; search legal files, contracts, records, microfilm and computer files; and enter, obtain or verify information from legal documents according to established methods and court rules.
  • Enter and retrieve case information using computer-based data systems and prepare reports requiring database information extraction.
  • Perform counter and telephone work, provide information to the public, and advise attorneys and interested parties about case status and legal procedures while maintaining security and confidentiality.
  • Maintain legal files and case controls; extract information; prepare and review files and legal forms; enter court dates and attorney records into databases; process and distribute court case files; and provide electronic discovery reports and media to opposing attorneys.
  • Research, prepare and generate complex legal documents, including forms, filings, briefs, motions, subpoenas, pleadings, sentencing paperwork, summonses, arraignment letters, warrants, jury instructions, correspondence, reports and memoranda, from minimal instructions in support of assigned attorneys or judges.
  • Obtain appropriate signatures, cause numbers and authorizations, and mail or route documents as designated.
  • Prepare transcripts for higher-level courts when required.
  • Review files, case documents and affidavits for completeness, timeliness and errors, and provide information to attorneys.
  • Research case files and prepare proposed court orders, including bond forfeiture orders, and prepare jury instructions from drafts or research into similar cases.
  • Obtain and provide standardized information to and from parties; monitor and review case status; and maintain contact with parties, attorneys and other individuals and agencies concerned with specific cases.
  • Assist attorneys in obtaining photographs and evidence required for trial.
  • Research and calculate a defendant’s probation violations and orders to determine sanction time.
  • Prepare orders specifying sanction days, violations and credit for time served.
  • Prepare and file legal documents with court clerks or electronically as authorized; obtain signatures and authorizations; copy or deliver documents to appropriate parties; and maintain case files and dates for subsequent actions.
  • Maintain current calendaring information for court hearings, witness interviews and client appointments, and keep the department database current with upcoming case information to support accurate court calendars.
  • Perform other related duties as assigned.
