Requirements
  • A high school diploma and four years of relevant experience in business management, public administration, or administrative services, or a bachelor's degree and two years of experience in those areas.
  • Experience planning small and large group events for in-person and virtual audiences, including working with planning committees, recruiting speakers, marketing events, selecting vendors, and creating and reconciling budgets.
  • Experience programming or researching topics and speakers for educational conferences and workshops is preferred.
  • Strong analytical and organizational skills.
  • Experience creating and presenting executive communication, marketing proposals, and presentations.
  • Proficiency with computer applications, including Microsoft Office, Word, PowerPoint, Excel, Adobe products, and Site Executive.
  • Ability to perform tasks with little supervision.
  • Excellent verbal, written, editing, and proofreading skills.
Responsibilities
  • Coordinate psychiatry-related continuing education, development and fundraising, and alumni initiatives.
  • Work with the Vice Chair for Education and Director of Continuing Education, Community and Alumni Relations on program development, operational procedures, communications, and financial management.
  • Develop and monitor compliance with annual continuing education, alumni, fundraising, and development budgets.
  • Prepare detailed program, quarterly, and yearly reports for continuing education, alumni, development, and fundraising activities.
  • Consult with program personnel regarding available funds and prepare funding requests.
  • Perform fiscal management, personnel management, procurement, supply services, and auxiliary services activities.
  • Direct budget preparation, monitor expenditures, recover misallocated funds, allocate funding sources, and process procurement reimbursements, check requests, and foundation requests.
  • Coordinate and administer assigned professional educational programs and implement new educational program offerings.
  • Maintain the continuing education database and update community and professional contacts using state board licensing lists.
  • Develop and manage validated email and postal mail databases, including access and information requests from other departments.
  • Plan, implement, and coordinate special projects and programs; conduct surveys and studies; and make recommendations.
  • Develop and execute communication campaigns for educational offerings, alumni relations, and development and fundraising initiatives.
  • Design and implement conference brochures, flyers, handouts, and other print and online marketing materials.
  • Develop and manage applicable department website sections, including content and digital assets, in compliance with brand-management rules.
  • Coordinate with the accreditation site to run educational American Psychiatric Association programs online.
  • Monitor and analyze web statistics and use the data to improve content and service quality.
  • Compile department and division resource information and research offerings to update the department website.
  • Organize division materials into a department book and collection of division brochures.
  • Market the department on relevant social media pages.
  • Coordinate logistics for department development and fundraising events and communication pieces.
  • Interface with College of Medicine Development staff, the MUSC Foundation, University Office of Communication and Marketing, and other related offices.
  • Maintain the Psychiatry Alumni website section and quarterly alumni newsletter.
  • Develop and execute marketing initiatives for alumni relations.
  • Liaise with department alumni task forces and special committees.
  • Provide training in administrative and management practices and procedures to CECAR volunteers and incoming administrative staff.
  • Perform other duties as assigned.
