Requirements
  • A Bachelor's degree or equivalent combination of education and experience is required.
  • At least three years of experience in recruitment coordination, human resources administration, talent operations, or a related field is required.
  • Experience with applicant tracking systems and human resources platforms such as Workday, PeopleSoft, Interfolio, or similar systems is required.
  • Strong organizational and project coordination skills, including the ability to manage multiple priorities simultaneously, are required.
  • The ability to handle confidential and sensitive information with discretion is required.
  • Excellent judgment, diplomacy, and interpersonal skills are required.
  • Strong written and verbal communication skills are required.
  • Exceptional attention to detail and commitment to data accuracy are required.
  • The ability to learn and adapt to new technologies and systems is required.
  • A strong client-service orientation and commitment to fostering positive employee and candidate experiences are required.
Responsibilities
  • Coordinate and track employee status changes, appointments, and organizational updates.
  • Maintain and update the Library organizational chart to ensure accuracy and consistency.
  • Coordinate employee offboarding processes and related documentation.
  • Maintain and update the Library vacancies database and follow up on incomplete or missing information.
  • Support data integrity across human resources and talent management systems through audits and collaboration with Human Resources and Dean of Faculty partners.
  • Identify opportunities to improve processes with a focus on enhancing the candidate and employee experience.
  • Coordinate hiring activities, including job postings, interview scheduling, candidate communications, and documentation management.
  • Partner with Talent Acquisition and hiring managers to ensure alignment on recruitment timelines and requirements.
  • Coordinate interview logistics with library administrative staff and facilitate on-site interview experiences.
  • Support the development and delivery of a centralized onboarding process for new employees.
  • Coordinate logistics for employee training, professional development programs, and engagement initiatives.
  • Provide day-of-event support for training sessions and the Library's Learning and Education Training Committee.
  • Design, maintain, and update the Talent and Organizational Effectiveness Confluence site.
  • Ensure Confluence content remains current, accessible, and aligned with Library priorities and initiatives.
Desired Qualifications
  • Experience working in higher education, academic libraries, or similarly complex organizations.
  • Familiarity with Airtable, Confluence, or comparable content and workflow management platforms.
