Requirements
  • Completion of a high school degree or General Educational Development credential and one to three years of experience, or an Associate’s degree, vocational technical degree, or specialized training equivalent to satisfactory completion of two years of college education, with emphasis in office management, secretarial science, business administration, or a closely related field.
  • Possession of a valid state driver’s license.
  • May be required to possess or obtain Notary Public certification.
Responsibilities
  • Provide administrative and clerical support to ensure effective and efficient office operations in the assigned unit or division.
  • Prepare and handle invoices, research, compile data, handle general projects, and generate reports.
  • Schedule meetings and appointments, maintain calendars, compose routine memos and letters for the supervisor’s signature, transcribe minutes, type memos and correspondence, and compile requested information.
  • Answer telephone calls, provide information and assistance, forward calls to appropriate staff, greet and assist office visitors, and provide professional customer service.
  • Coordinate division and department activities with other divisions, departments, agencies, and professionals as appropriate.
  • Research and provide department information to agencies and individuals as requested and appropriate.
  • Perform basic bookkeeping, including receiving and recording payments, managing petty cash, preparing requisitions, balancing and reconciling the cash drawer, and reviewing financial records and receipts for accuracy and completeness.
  • Maintain record-keeping systems, enter data into computers, maintain accurate databases, and prepare spreadsheets.
  • Collect and compile requested data and prepare, gather, and assemble information for special projects.
  • Maintain petty cash and other assigned office accounts, receive fees from customers, and issue receipts.
  • Assist coworkers with administrative and clerical duties as necessary.
  • Maintain accurate, current, and confidential department personnel records, including employee files, personnel action forms, performance evaluations, insurance benefits, and workers’ compensation records and claims.
  • Perform general clerical work, including compiling report data, copying and filing documents, entering and retrieving computer data, processing daily mail, disseminating information to department staff, ordering office supplies, maintaining inventory records, and maintaining lists and logs.
  • Receive and respond to employee and public inquiries, concerns, complaints, and requests for assistance within the area of responsibility.
