Requirements
  • One of the following is required: 1–3 years of administrative experience and a bachelor's degree, or 3–5 years of office/administrative experience with finance/business and personnel management.
  • Proficiency in Microsoft Suite, including Word, Excel, PowerPoint, Teams, and Outlook, is required.
  • Previous event planning experience is required.
  • Ability to communicate effectively in English verbally and in writing is required.
  • Proficiency with computer systems, Microsoft Office, and Outlook 365/calendar is required, along with working knowledge of Excel and the ability to learn new systems.
  • Ability to reason, analyze information and events, and apply judgment to solve routine and complex problems is required.
  • Ability to travel when required is necessary.
  • A valid driver's license, acceptable Department of Motor Vehicles record, Liberty University Driving Approval, and liability insurance are required when driving for work.
Responsibilities
  • Greet visitors and provide professional, courteous assistance.
  • Perform clerical duties including filing, typing, answering phones, and managing email correspondence.
  • Schedule and coordinate events such as CFAW, Experience LU, graduation, and other departmental functions.
  • Schedule, record, compile, transcribe, and distribute meeting minutes.
  • Coordinate guest visits, including accommodations, meals, and transportation.
  • Submit and track facilities work orders, print shop orders, and information technology service tickets.
  • Reserve rooms using 25Live.
  • Maintain a clean, organized, and positive academic office environment.
  • Train and become proficient in Liberty University systems and software.
  • Support and supervise human resources hiring procedures.
  • Submit key and badge access requests for others.
  • Provide training to department employees on administrative processes as needed.
  • Order and maintain office supplies and equipment in BuyLU.
  • Reconcile purchasing card expenditures.
  • Coordinate department travel.
  • Track student information.
  • Use Workday to hire student workers and possibly graduate student assistants, teaching assistants, staff, and faculty.
  • Perform duties typically assigned to an Administrative Assistant I as needed.
  • Enter and update courses and programs in Courseleaf and potentially enter faculty into FAT for classes, handle catalog edits, and process course legislation.
  • Assist with processes related to faculty qualifications.
  • Approve time and absences in Workday for student workers and staff.
  • Oversee procurement tasks and manage budgets in Banner and Anaplan.
  • Supervise student workers and approve their time; may approve time for staff.
  • Stand, walk, and climb stairs across campus, and handle materials as needed to conduct business.
  • Facilitate occasional outdoor events.
Desired Qualifications
  • Professional work experience in a higher educational academic setting is preferred.
  • Prior experience with Liberty University systems is helpful.
