Requirements
  • Currently enrolled in college or university pursuing an associates or undergrad degree graduating spring 2025
  • Ability to work hybrid from our Irvine, CA office
  • 1-2 years of experience in an administrative or coordinator role, preferably in a fast-paced environment.
  • Ability to handle multiple reactive tasks and prioritize based on urgency.
  • Strong organizational skills with acute attention to detail.
  • Excellent verbal and written communication skills.
  • Proficiency in MS Office Suite (Outlook, Word, Excel, PowerPoint); experience with Google Suite, Slack, and Zoom preferred.
  • Ability to manage changing priorities and work effectively under pressure.
Responsibilities
  • Manage and respond to ad-hoc scheduling requests from Senior Directors, updating calendars in real-time, and resolving conflicts quickly by coordinating with other administrative staff and external contacts.
  • Assist in researching flights, accommodations, and ground transportation as needed.
  • Respond promptly to daily requests from Senior Directors for meeting preparation, research, or document creation. Follow up on action items from meetings to ensure deadlines are met.
  • Handle inbound communications and inquiries for the Senior Directors and their teams, responding promptly and escalating matters when necessary.
  • Provide event support, assisting with logistical details like catering, venue set-up, and resolving any last-minute issues or changes for smaller-scale team or department events.
