About the Role:
We are seeking an organized and proactive Team Coordinator to provide day-to-day administrative and operational support to up to six Senior Directors within the Product & Engineering organization. This role involves handling multiple tasks with agility, responding quickly to team needs, and ensuring smooth, efficient operations. The ideal candidate thrives in a fast-paced environment and enjoys taking initiative in handling a variety of reactive tasks.
What You’ll Do:
Calendar Coordination: Manage and respond to ad-hoc scheduling requests from Senior Directors, updating calendars in real-time, and resolving conflicts quickly by coordinating with other administrative staff and external contacts.
Travel Arrangements: Assist in researching flights, accommodations, and ground transportation as needed.
Task Tracking and Follow-ups: Respond promptly to daily requests from Senior Directors for meeting preparation, research, or document creation. Follow up on action items from meetings to ensure deadlines are met.
Communication Management: Handle inbound communications and inquiries for the Senior Directors and their teams, responding promptly and escalating matters when necessary.
Meeting Support: Provide event support, assisting with logistical details like catering, venue set-up, and resolving any last-minute issues or changes for smaller-scale team or department events.
What You’ll Need:
Education: Currently enrolled in college or university pursuing an associates or undergrad degree graduating spring 2025
Ability to work hybrid from our Irvine, CA office
Experience: 1-2 years of experience in an administrative or coordinator role, preferably in a fast-paced environment.
Skills:
Ability to handle multiple reactive tasks and prioritize based on urgency.
Strong organizational skills with acute attention to detail.
Excellent verbal and written communication skills.
Proficiency in MS Office Suite (Outlook, Word, Excel, PowerPoint); experience with Google Suite, Slack, and Zoom preferred.
Ability to manage changing priorities and work effectively under pressure.
Preferred Qualifications:
Experience in managing last-minute travel changes and scheduling conflicts.
Familiarity with supporting Senior Directors or executive-level staff in corporate environments.
Experience handling expense reports and meeting logistics in fast-paced, dynamic organizations.
