Requirements
  • Prior experience in customer service, client relations, call center operations, administrative support, intake, or a similar client-facing role is preferred.
  • Strong verbal communication and active-listening skills are required.
  • Ability to make frequent outbound calls and speak with clients throughout the workday.
  • Ability to communicate professionally and compassionately with frustrated, confused, or difficult-to-reach clients.
  • Strong organizational skills and attention to detail are required.
  • Ability to accurately document conversations and maintain detailed records.
  • Ability to work with deadlines, productivity expectations, and multiple client matters simultaneously.
  • Ability to follow established scripts, procedures, and escalation protocols while maintaining a natural and professional communication style.
  • Proficiency with computers and ability to learn case management and other internal software systems.
  • Ability to maintain strict confidentiality and handle sensitive information appropriately.
Responsibilities
  • Conduct outbound calls to existing clients regarding required case-related surveys, questionnaires, and information requests.
  • Explain the purpose and completion process for assigned surveys or questionnaires while staying within the scope of the position.
  • Collect, organize, and maintain client medical records in compliance with the Health Insurance Portability and Accountability Act.
  • Assist clients in completing required surveys and obtaining requested information.
  • Follow up with clients who have not responded or have incomplete information.
  • Maintain consistent outreach efforts to help ensure completion before applicable case deadlines.
  • Document client communications, outreach attempts, survey status, and other relevant information in the firm's case management system.
  • Track outstanding client responses and provide regular status updates to appropriate team members.
  • Identify and escalate client questions, concerns, or case-specific issues requiring assistance from a legal team member.
  • Maintain confidentiality of client and case information.
  • Follow established firm procedures regarding client communication, documentation, and data handling.
  • Collaborate with attorneys, case staff, and other team members to ensure priority matters are addressed in a timely manner.
  • Assist with other client outreach and administrative case-support projects as needed.
Desired Qualifications
  • Previous experience in a law firm, mass tort environment, or other high-volume case environment is a plus but not required.
  • Bilingual Spanish proficiency is preferred but not required.
