Position Description:
This role will primarily support the Sales Executive Team members. The ideal person for the job will be team oriented, organized, proactive, with exceptional communication and written skills. This is a hybrid role from 7am – 3pm PT with flexible in-office hours; at least 3x a week in the office and flexibility to come in for additional days as needed.
Responsibilities:
Objectives of this Role:
- Optimize the VPs productivity through efficient calendar management, prioritizing tasks and deadlines to ensure that company goals and objectives are accomplished, and operations run efficiently.
- Maintain and refine internal processes that support the highest-ranking executives company-wide, coordinating internal and external resources to expedite workflow.
- Manage communication between upper management and employees, liaising with internal and external executives on various projects and tasks.
- Plan and orchestrate work to ensure the senior executives’ priorities are met, organizational goals are achieved, and best practices are upheld.
What You’ll Do:
- Calendar management and organization
- Manage and coordinate travel
- Prepare and submit expenses and reimbursements
- Manage relationships with third party service providers/vendors
- Staff meeting materials management
- Coordinate and manage candidate interviews
- Organize team communications and plan events, both internal and external
- Provide support for other members of the executive team and their team members
- Assist in ad hoc projects and light personal assistant support, as needed
- Will report to the Manager of Administration
- Will provide back-up coverage/support to admins and Workplace Experience Manager, as needed
Requirements/Qualifications
- Bachelor’s degree required
- At least 2-4 years Executive Assistant experience supporting a team
- High level of professionalism, and discretion with confidential information
- Articulate, with strong written and verbal communication skills
- Strong time-management skills, and detail oriented, with the ability to organize/prioritize multiple projects to meet deadlines
- Proficient in G-Suite, MS Office, Zoom, and other office productivity tools, with aptitude to learn new software and systems
- Flexible team player, adaptable, and enjoys a challenge
- Driven, strong interest in self-development, and high integrity
- At least two professional references required
A candidate’s final salary offer will be based on their skills, education, work location and experience, and thus it may differ from the posted range. Compensation may also include bonuses consistent with Ceribell’s corporate compensation plan. Compensation Range
$87,000—$117,000 USD
