Responsibilities
  • Greets and checks patients in and out, gathers and enters patient information, collects co-payments, creates new charts, and handles insurance information appropriately.
  • Operates a multiline telephone system and handles calls according to clinic protocols.
  • Schedules new and established patient appointments using the computerized scheduling system and electronic medical record.
  • Takes accurate and detailed messages, routes them appropriately, and follows up on telephone inquiries.
  • Answers and triages calls to determine urgency, transfers calls or leaves messages for medical assistant and registered nurse staff, and directs callers to appropriate providers, staff, or departments.
  • Documents and routes patient calls regarding medication refills, complaints, general inquiries, and urgent health care concerns to the appropriate providers or designees.
  • Monitors missed appointments and handles them according to protocol.
  • Obtains prior medical records and studies when appropriate.
  • Routes faxes, prescription refill requests, test result requests, and insurance inquiries appropriately.
  • Updates customers' financial records and enters patient information regarding concerns, questions, bill statements, payments, and insurance information.
  • Collects, sorts, and distributes mail daily.
  • Responds to correspondence by telephone or in writing as appropriate.
  • Maintains an organized work area.
  • Closes the clinic by balancing the cash drawer, completing the deposit, and pulling the next day's charts.
  • Completes insurance referrals by referring patients to specialists, preparing paperwork, obtaining authorization from insurance companies, and handling denials and problems.
  • Sends copies of chart notes to primary care physicians and patient accounting as needed.
  • Attends monthly full-staff meetings.
  • Communicates supply needs to the ordering person in a timely manner.
  • Attends insurance workshops and reads insurance updates.
  • Completes mandatory education and licensure requirements.
Desired Qualifications
  • Prior medical clinic experience.
  • Experience using an electronic medical record.
  • Current basic life support certification.
  • Preference for database skills.
  • Bilingual proficiency in Spanish and English.
