Requirements
  • A high school diploma or equivalent is required.
  • Three years of previous secretarial experience in a healthcare setting are required.
  • Typing speed of 45–55 words per minute is required.
  • The ability to operate a computer terminal and Microsoft Office software programs is required.
  • The ability to communicate clearly, concisely, and accurately with people is required.
  • The ability to organize and manage multiple priorities with many people in a constantly changing environment is required.
  • Fire Life Safety Training in Los Angeles City is required; if no card is available upon hire, it must be obtained within 30 days of hire and renewed before expiration.
Responsibilities
  • Provide administrative and secretarial support, including scheduling and coordinating meetings, seminars, and travel; coordinating daily priorities; and performing independent and collaborative projects as needed.
  • Coordinate schedules, including arranging meetings and appointments.
  • Serve as a liaison between the Administrative Team, Administrative Support Staff, physicians, department directors, and customers to assist with problem identification and resolution.
  • Coordinate and track workflow, schedules, and projects to ensure work is complete and appropriate, and follow up is completed in a timely manner.
  • Use sound judgment when complications arise outside the scope of authority and bring them to the attention of the appropriate administrative representatives in a timely manner.
  • Maintain the security and confidentiality of patient medical records, hospital financial information, salary information, staff information, and legal information.
  • Process calls from patients, their families, and the general public by assessing urgency and suggesting appropriate referrals or notifying the appropriate administrative representatives when warranted.
  • File and maintain records pertinent to the functions of immediate executives.
  • Assist with the preparation, coordination, and distribution of materials for Leadership Huddle, and take and transcribe meeting minutes.
  • Answer phones and triage calls to appropriate parties while maintaining professionalism.
  • Manage and approve Kronos for the Food Services Department, Hospital Operations, and direct reports of assigned executives.
  • Generate check requests and internal requisitions as assigned.
  • Perform other duties as assigned.

  • Medical terminology preferred.
