Requirements
  • A bachelor's degree from an accredited college or university in Marketing, Hospitality Management, Public Relations, Communication, or another closely related field, plus two years of directly related work experience, or an equivalent combination of related education and experience.
  • The ability to pass a required fingerprint-based background check and enroll in the continuous RAP Back program.
  • Knowledge of methods used to plan and coordinate various events.
  • Knowledge of problems and issues associated with organized community events.
  • Knowledge of contract negotiation and facility rental practices.
  • The ability to work with computer software related to job-specific duties.
  • The ability to use social media for promotional purposes.
  • The ability to interpret and communicate rules, regulations, policies, and procedures.
  • The ability to communicate clearly and effectively, orally and in writing.
  • The ability to perform accurate mathematical functions.
  • The ability to exercise initiative and independent judgment.
  • The ability to establish and maintain effective working relationships with coworkers, supervisors, the general public, and community organizations and groups.

Responsibilities
  • Plan, organize, and coordinate details of events and activities at Arts & Culture venues.
  • Conduct facility tours and site inspections.
  • Cultivate and maintain professional relationships with potential and existing clients.
  • Respond to inquiries about scheduling rooms and event spaces.
  • Meet with clients to discuss setup options, calculate cost estimates, and review facility-use requirements and approved service-provider checklists.
  • Negotiate and finalize rental contracts, record tentative and contracted dates on the event calendar, and accept deposits and fee payments.
  • Act as the primary point of contact with clients, private and nonprofit organizations, custodians, temporary staff, ticketing staff, patron services, food and beverage teams, and technical directors to coordinate scheduled events.
  • Coordinate with the marketing team to promote and publicize events.
  • Monitor and manage social media channels for events.
  • Explain and enforce rules and regulations regarding use of center facilities.
  • Arrange last-minute event or equipment-setup adjustments and resolve problems and concerns during scheduled events.
  • Monitor events to ensure compliance with client contractual agreements and security and safety requirements.
  • Maintain databases of events, community and media contacts, and authorized caterers established by County contracts.
  • Prepare financial and statistical reports and provide general administrative support.
