Requirements
  • Post secondary education or equivalent;
  • 2-3 years of relevant experience in facilities management, and/or office coordination, Occupational Health and Safety experience is a plus.
  • Excellent oral and written communication skills in both French and English.
  • Strong attention to detail with a high degree of accuracy.
  • Highly organized, flexible, and capable of managing multiple priorities.
  • Independent, self-motivated, and able to complete projects with minimal supervision.
  • Willingness to learn and adapt to new projects.
  • Proficiency with Microsoft Outlook and other Microsoft Office tools (especially Excel), and the ability to learn new software.
Responsibilities
  • Coordinate with landlords, contractors, and maintenance staff for office facility upkeep.
  • Manage office space planning, moves, and renovations, ensuring projects are on time and within budget.
  • Conduct regular facility assessments, ensure seasonal maintenance, and liaise with contractors to meet standards.
  • Plan and manage office moves, and assist with organizing facilities events and special functions.
  • Oversee building security systems, including keying systems and access cards.
  • Screen visitors for Trade Compliance, manage visitor badges, and maintain the logbook.
  • Provide support to management, arrange luncheons, restock supplies, and handle various ad hoc requests.
  • Notify staff of customer visits, order business cards, and coordinate with IT and other groups as needed.
  • Act as the main contact for health and safety in the Montreal office, working with management and corporate groups.
  • Monitor, track, and document compliance, training, forms, and reports related to health and safety programs.
  • Schedule and participate in monthly Joint Health & Safety Committee meetings, conduct site inspections, risk assessments, and safety audits.
  • Work with HR and other departments to ensure regulatory compliance, manage WHMIS training and Safety Data Sheets, and coordinate ergonomic assessments.
