Requirements

Responsibilities
  • Establish and maintain positive, professional, courteous, and appropriate relationships with patients, visitors, and employees while supporting a positive public perception of the health system.
  • Contribute to and participate in the assigned department’s Performance/Quality Improvement activities, including data collection, analysis, implementation, risk management and claims compliance, Continuous Quality Improvement teams, safety and security policies, incident and occurrence reporting, infection control policies and procedures, and patient and customer service.
  • Track, retrieve, research, and reconcile medical records received within the Health Information Management Department.
  • Investigate and follow up on charts not received in Health Information Management by interacting with Nurse Managers and Unit Clerks, and submit daily and weekly missing-chart statistics to the immediate supervisor.
  • Answer the telephone, take and relay messages, and act as an Information Clerk and Receptionist.
  • Perform clerical tasks with administrative services staff, including assisting with distribution of daily work assignments and payroll checks.
  • Assist in preparing records and other data for transmittal to other hospital departments.
  • Prepare and scan documents into the electronic document management system according to established processes and Health Information Management Department policy.
  • Correct and complete daily errors by performing quality assurance on assigned work.
  • Perform quality control to ensure the integrity, completeness, and legibility of scanned patient health records by validating paper records against scanned images.
  • Perform primary hardware tests to ensure proper feeding of scanner sheets, maintain a daily event log of imperfections during scanning and indexing, and provide the log to the immediate supervisor.
  • Inspect equipment, structures, or materials to identify causes of errors, problems, or defects; maintain an inventory of scanner supplies and spare parts; and place scanner maintenance calls.
  • Submit all productivity reports daily to the immediate supervisor.
  • Collaborate with the immediate supervisor to investigate and potentially merge duplicate medical record pairs.
  • Pick up, sort, and distribute mail, letters, messages, packages, records, interoffice memoranda, and other items to hospital offices and departments.
  • Oversee Medical Records warehouse management by ensuring charts are manifested and boxed according to Health Information Management policy and procedures, and manifesting and purging warehouse medical record boxes for destruction.
  • Maintain and purge files for record destruction according to Health Information Management Department policy.
  • Coordinate transportation to the warehouse and retrieve medical records from the warehouse as requested by Health Information Management management.
  • Collect outgoing mail from departments at routinely established periods each day.
  • Undertake miscellaneous duties and perform other assigned job functions.
