Requirements
  • A High School Diploma or GED is required.
  • Three to five years of experience working in a professional office environment is required.
  • Two to five years of experience working with accounting functions is required.
  • Experience with Microsoft Office, especially Excel, is required.
  • A valid state driver's license and qualification to operate a vehicle under the conditions of Brice Engineering's Driving Policy are required.
  • The ability to pass drug, driving, and background screenings is required.
  • The ability to communicate orally and in writing, multitask, and manage time is required.
  • The ability to work in a team environment and in an Alaska Native Corporation multi-business environment is required.
Responsibilities
  • Support the day-to-day operations of the Anchorage office.
  • Function as a backup to the Office Manager.
  • Schedule conference rooms and assist with setting up meetings.
  • Order and stock office and kitchen supplies.
  • Order office lunches and supplies for new employees.
  • Serve as the point of contact for copier issues and complete monthly meter readings.
  • Open and close kitchens daily, including operating coffee and latte machines, loading and unloading the dishwasher, maintaining tidiness and cleanliness, organizing, and completing weekly refrigerator cleanouts.
  • Open and close conference rooms daily, including cleaning whiteboards and maintaining tidiness.
  • Open and close copy areas daily, including organizing, maintaining tidiness, and restocking copiers.
  • Expedite as required.
  • Work in a constant state of alertness and in a safe manner.
  • Administer the travel and expense policy when generating expense reports and credit card reconciliations, ensuring timely processing to meet accounts payable close deadlines.
  • Prepare employee expense reports by organizing receipts, coding accounts, and entering expenses into Costpoint.
  • Complete mid-month, monthly, and year-to-date credit card reconciliations for multiple employees.
  • Identify and track expense report receipts and assist in locating missing company credit card receipts.
  • Answer and screen incoming calls and take messages.
  • Coordinate visitors by greeting them and directing them to the appropriate location.
  • Maintain the guest sign-in sheet.
  • Pick up mail and distribute it to staff.
  • Receive packages and certified deliveries.
  • Prepare and schedule United States Postal Service, FedEx, and UPS shipments.
  • Coordinate pickups and drop-offs with couriers and delivery providers.
  • Manage the weekly recycling of office boxes.
  • Report office maintenance and security issues to the Office Manager.
  • Perform other duties as assigned.
