  • 1-3 years relevant experience supporting multiple people in a professional services organization
  • 1 year of relevant facilities experience
  • High level of proficiency and working knowledge of Outlook
  • Ability to communicate effectively, both verbally and in writing

  • Strong ability to multi-task with multiple projects and deadlines in a high-volume fast paced environment

Responsibilities
  • Maintain and update employee communications via email and slack/social media
  • Facility walk throughs to ensure cleanliness and tidiness of office
  • Maintain all conference rooms for cleanliness / reserve conference rooms, including ordering and/or setup
  • Oversight of ServiceNow ticketing system for maintenance team
  • Provide information and direction to vendors, facilities staff and other service providers as required to ensure excellent coordination and execution of work, with minimal disruption
  • Assist in vendor procurement, service and coordination
  • Ability to assemble furniture, hang artwork, light maintenance etc.
  • Assist with furniture moves and set up
  • Perform clerical or administrative duties as needed, such as: assisting with filing and database systems, attendance records and other related office support duties
  • Coordinate the daily conference room schedule
  • Order, maintain and organize all kitchen and office supplies
  • Assist with the coordination and scheduling of office/building maintenance activities
  • Update phone lists, photo organization charts, and seating plans
  • Respond to basic client and general inquiries and escalate complex queries to the appropriate parties. Maintains a clean, organized and safe workspace
  • Assist with onboarding new employees (setting up workstations, parking, building access, etc.)
  • Assist with special events (client events, holiday events, team days, etc.)
  • Participate in facility programs with an expectation to continue learning and grow as a professional.
  • Greet/host/provide front desk support for all client guests, visitors, employees and direct all accordingly.
  • Manage mail and couriers, including but not limited to preparing both domestic and international courier packages, coordinating pick-up and delivery, confirming delivery/receipt with appropriate stakeholders, and resolving any related issues in a timely manner
  • Provide security badges for visitors and regular employees and perform daily/weekly audit
  • Comply with all the policies and procedures of JLL and client Facility. All requests included but not limited to the overall success of JLL and their client.
